To improve display performance in systems with many onboardings, the Display By: Phase filter is automatically activated when the overview contains 200 or more onboardings. By bundling by phase, less data is displayed at the same time and the display speed is increased. You can manually toggle the filter if you want to see a different view.

When opening the onboarding overview, it was not possible to activate links behind the the onboarding process diagrams during the loading process. This is now possible so that you can get to the desired content more quickly after opening the overview.

You can create an automated task to instruct the system to invite new employees to the employee portal. This way you don't have to invite new employees manually which comes especially handy for great numbers of new employees.

User Form Fields in Portal  Articles

You can now use form fields in portal articles. When creating a form field, you can give it a placeholder name. When you do, you can select the form field placeholder name from the placeholder list in portal articles. This allows you to display specific information to specific new employees.

Split Permissions for Enabling Responsible Users

Up until now only such users could finish onboarding and issue/withdraw invitations, who also were able to edit the new employee in general.
To enable responsible users, these rights now receive their own permissions:

  • Invitations | issue/ withdraw + Portal Access | reset: This permission exists in multiple variants for different responsibilities. It enables line managers (e. g.) to independently issue invitations to the employee portals in order relieve HR from such tasks.
  • Onboardings | finish: This permission exists in multiple variants for different responsibilities. It enables specific users to finish onboardings.

Note  

These are additional permissions that are still included in the general permissions to edit new employees. Existing roles will not be affected.
Both permissions are organizational unit independent and applicable to all onboardings accessible to the user due to their view rights.

Automated Updating of SSO Metadata XML File

For SSO use, administrators can specify a URL path from which the system retrieves the required metadata XML file from the identity provider. Previously, when the source file was renewed, administrators also had to renew the file retrieval. From now on, the system automatically and regularly checks the source file behind the URL path. If the system detects a change, it adopts the updated file. This makes SSO maintenance easier.

  • If the automated update fails three times, an error message is displayed exclusively for users with the right to edit SSO settings.
  • As an alternative to URL retrieval, the Metadata XML file can still be uploaded to the system manually. Previously, a warning was issued starting 30 days before the certificate expired. This period has been reduced so that the system now issues a warning starting 20 days before certificate expiry. Also, this warning is displayed only for users with the right to edit SSO settings.

When opening the employee portal preview, the portal was displayed in the user's language and not in the new employee's language. This may have caused content to be shown or hidden, so that the user and the new employee may have seen different portal content.

You can provide documents (for printing). This allows you to manage documents centrally and store them in tasks using placeholders. Task recipients can call up, download and print the documents.

Start Further Onboardings for the Same Person

For various reasons, it can happen that a person needs several onboardings. For example, because the person needs to be brought up to date after a longer absence (parental leave, sabbatical, illness, etc.). Or, for example, because the same person works in different areas and should undergo separate onboardings for each of these areas.

  • It is now possible to start further onboardings for a person with existing onboarding, both from the application and from a handover.
  • On the New Employee page, the Data tab under Person displays all other onboardings of the person.
  • For each onboarding, an individual invitation to the employee portal must be issued so that the new employee can access it.
  • On the New Employee page, in the Employee Portal tab, the Create Portal Access button has been renamed to Send Invitation. Accordingly, the button Delete Portal Access is now called Delete Invitation.
  • As before, the first time an employee is invited to the employee portal, an email with access data is sent to the new employee. With each subsequent invitation, the corresponding onboarding is added to the existing employee portal. This way, the new employee can access all assigned onboardings with the same portal credentials.

Change Between Onboardings in the Same Employee Portal

In the employee portal, the new applicant can switch back and forth between their various onboardings.

  • The employee portal has a new header that contains the onboarding name. If the new employee clicks on the onboarding name, a list with all their onboardings opens to switch between them.
  • Only onboardings for which an invitation has been issued are displayed. Each invitation must be issued manually by a user per onboarding.
  • When switching between onboardings in the employee portal, the portal switches accordingly between the portal settings of the respective onboarding.

Layout Improvements

Now two weeks have passed since the turn of the year and you have given us a lot of feedback on the new layout. In addition to the many positive feedbacks, we have also received some requests for improvement, which we are addressing in this release.


Your feedback is always welcome and appreciated so that we can continue to grow together and keep on optimizing your d.vinci.



  • In the navigation bar, the colors for active and inactive menu items have been reversed. All menu items are now white and only the active menu item is highlighted. This makes it more intuitive to see which menu item is active.
  • The stroke width has been increased for titles, buttons and icons. This creates more contrast and improves the overall readability.
  • Small flags protruding from the page margin no longer overlay the page scrollbar. This allows you to scroll properly again.
  • In the background image, the color shape was reduced. This makes the new layout look lighter.
