Explanation of term

Shortcuts are quick selection buttons defined by you in the application, which lead to the next logical status in the process.


Configuration

Shortcuts are created when setting up permissions. See Create status transition.


System behavior

  • What are shortcuts for?
    If you have created shortcuts for a status transition, you can select a predefined next status without clicking on the status change menu ( Change status).
  • Usage examples
    • Initial status: New
    • Next statuses with shortcuts: Request more information, Forwarded to department, Rejected.
    • Initial status: Forwarded to department
    • Next statuses with shortcuts: Please invite, Please reject, Please hold.
  • Creating/Setting up shortcuts
    • When creating a status transition, you define under Next status shortcut which quick selection button should be displayed for the respective status in the application.
    • In the Permissions tab under Status transitions, the application status is marked with the addition (Shortcut) if a shortcut has been created.
  • Where can the shortcuts be found?
    The shortcuts are displayed next to the Status change menu.
  • Number of shortcuts
    You can create as many shortcuts as you like. However, for clarity, it is recommended to create only the most likely/important next statuses as shortcuts. Too many shortcuts can negate the speed advantage, as the correct next status must be selected from a long list.

How our customers use this

Most customers use no more than 5 shortcuts to another application status, as it can become unclear otherwise.
