Over time, more and more data records accumulate in the system. The system can quickly become confusing.
While you can pause, end or delete onboardings manually and thus hide them from your standard view on the Onboardings page or even remove them from the system completely, we also offer you the option to end or delete onboardings automatically after a time of your choice.

Automatically terminate onboarding

This function allows you to automatically end onboardings X days after they have reached the end of the onboarding process in the timeline.


Required rights  

  • Configure basic settings


Proceed as follows: 

  1. Open the page Basic Settings. The page of the same name is displayed.
  2. Click on the tab Data Proctection. The page with the details of the tab is displayed.
  3. Click on the edit icon   next to the area Onboarding. The page Data protection with the settings for onboarding is displayed.
  4. Select the option Yes for Automatic Finish to activate the function. Further options are displayed.
  5. Enter in the field Finish onboardings automatically after the number of calendar days after which an active onboarding should be automatically finished when the onboarding process end has been reached in the timeline.
  6. Select a Reason For Termination.
  7. Click Update to save the settings.


  Example:Schedule
Start of onboarding process: 01.01.2024
Employment contract: 01.03.2024
First working day: 01.04.2024
End of onboarding process: 01.06.2024
Calendar days entered in the basic settings for automatic termination: 30
Result (date of termination of onboarding): 31.06.2021 (01.06.2024 + 30 calendar days)


Delete onboarding automatically

With this function, you can ensure that onboardings are automatically deleted X days after an onboarding has ended.

 

Required rights  

  • Configure basic settings


Proceed as follows: 

  1. Open the page Basic Settings. The page of the same name is displayed.
  2. Click on the tab Data Protection. The page with the details of the tab is displayed.
  3. Click on the edit icon   next to the area Onboarding. The page Data Protection with the settings for Onboarding is displayed.
  4. Select the option Yes for Automatic Deletion to activate the function. Further options are displayed.
  5. Enter the number of calendar days after which a finished onboarding should be automatically deleted in the field Automatically delete onboardings after (depending on the termination time).
  6. Click Update to save the settings.


 Example:

Date on which the onboarding was completed: 01.06.2024
Calendar days that are entered in the basic settings for automatic deletion: 30
Result (date on which the onboarding was deleted): 31.06.2021 (01.06.2024 + 30 calendar days)
