You can send new messages to the Onboardee or answer received messages.


Send Message

This is how you can send a new message to the Onboardee.


Proceed as follows:

  1. Press the Onboardings menu item. The Dashboard page is displayed.
  2. Press the name of a Onboardee. The page Onboarding is displayed.
  3. Press the Send Message button. The input form with the same name is displayed.
    • If a business email address is specified for the new employee, the Email field is displayed and the business address is preselected.
  4. Select a correspondence template. The Content field is displayed with the correspondence template text.
    • You can edit the message before sending it.
    • Placeholders contained in the correspondence template are filled.
    • If you add new placeholders, they will be filled when you send the message.
  5. Optional: Add an attachment via + Attachment that is only for this onboardee and will be sent with the correspondence.

    In the onboarding history you can track the file name of the individual attachment.

  6. Press the Send button to send the message. The action and the message are documented in the onboarding file history. The Onbaording page is displayed.


Reply to Message in the Message Inbox

In the head bar, the Messages badge indicates to unfinished messages. A message is unfinished as long as it has not been marked as finished. This applies regardless of the date the message was received.

Note  

You can reply to the same message as often as you like. This will not be markes as finished.


Proceed as follows:

  1. In the head bar, press the Messages badge. The page with the same name is displayed. The topmost message opens automatically.
  2. Press on a message to open it.
  3. Press the Reply button. The Send Message input form is displayed.
  4. Write a reply text.
  5. Press the Send button to send the message. The Onboarding page is displayed.


Reply to Message in the History

Every incoming and outgoing message is documented in the onboarding file history.

  • Finished messages have the  icon and can no longer be replied to. (You can mark the message as unfinished in order to reply to it).
  • Unfinished messages have the  icon and can be replied to.


Proceed as follows:

  1. Press the Onboardings menu item. The Dashboard page is displayed.
  2. Press the name of a new employee. The Onboarding page is displayed.
  3. Activate the Historiy tab.
  4. Select a history entry that contains a message you want to reply to. Press the    icon. The Email modal dialog is displayed.
  5. Press the Reply button. The Send Message input form is displayed.
  6. Write a reply text.
  7. Press the Send button to send the message. The Onboarding page is displayed.
