You can create tasks in two ways

Create task in onboarding process

Creates tasks directly in a selected onboarding operation. These tasks will only be used in the selected onboarding operation.


Required-rights  

  • Create tasks


Proceed as follows:

  1. Open the page Onboardings.  The page Overview is displayed.
  2. Press on the name of an onboardee. The Onboarding page with the Tasks tab enabled will be displayed. 
  3. Press on + Create Task. The task entry form will be displayed.
  4. Fill the input form:
    • Title.
      A title that is indicative of the content. Avoid personal data in the task title, as it remains as statistical information in reports even after data reduction.
    • Description
      You can add a meaningful description to your task. As long as form fields of master data and additional information regarding onboardees in your system have been set as usable in tasks, you may add them as placeholders by clicking the [T] icon.
    • Due date 
      Choose the number of days before or after a date in the schedule by which time the task must be completed.
    • Responsibility
    • Notify when done
      Select (when applicable) responsibilities who should be notified by email once the task has been completed. Should you write a comment on the completed task, the system will notify you right below the comment field about which responsibilities will be informed about this comment individually.
    • Finish automatically.
      Choose Yes,  if the task should get the task status Completed on the due date without any further action by a user.

      Caution  

      This will trigger further actions, if any, that will be activated when the task status Completed is reached (see further task settings).

    • Assignable task
      Select this if you want to delegate this task to a third party for completion. A number of other form fields will pop up:
      • Task Assignee 
        Enter the email address of the task recipient here.
      • Share attachments
        Choose Yes if it should be possible to release selected attachments of the onboarding process for the task recipient when transferring the task.
      • Automatic Assign
        Wähle Yes if the task should be transferred to the task recipient without further action by a user once it has the task status Soon fällig erhält.
    • Employee Portal
      Select this if you want portal articles to appear on the task.
      • Choose one or more portal articles that will be displayed in the employee portal once the task reaches Completed status
      • Choose at Show potal task a time when the portal task selected in the next field should be displayed in the employee portal.
    • Send message to Onboardee
      Wähle Yes if a message should be sent to the onboardee when the task is completed. The correspondence template field will be displayed.
      • Choose a correspondence template. When completing the task, you can edit the message text before sending it.
  5. Click on the Create button to save the ¨changes. The Onboarding page will be displayed.




Create task template in task package

Creates task templates and adds them to task packages. You can use these tasks in all onboarding procedures by applying the task pack.

Proceed as follows:

  1. Open the page Task packages.
  2. Press a list item and then the icon at Properties to edit an existing task package. Or press the Create button to create a new task package. The Task package input form will be displayed.
  3. Fill the input form:
    • Enter a display name.
    • Choose a organizational unit.
    • You can select an entry reason for Preferred to. If the same entry reason is selected when creating a new onboarding operation, this task package will be preselected for the onboarding operation.
  4. Click the Update button orCreate to save the ¨changes. The Task package page is displayed.
  5. .Open the Task Templates tab.
  6. Click the Create Task Template button. The input form with the same name will be displayed.
  7. Fill the input form:
    • Title.
