Printing documents or making copies of applicant data cannot be completely prevented technically. Therefore, we recommend restricting access to applicant data through the system's role and permission concept. This minimizes the number of people who can view sensitive data.

A complete safeguard against misuse - such as taking screenshots or photos with a smartphone - is technically impossible. Measures against such actions can only be addressed through internal policies and clear guidelines. We recommend establishing internal policies that prohibit printing, photographing, taking screenshots, or forwarding applicant data (e.g., via email) unless an employment contract has been signed with the applicant.

Using d.vinci offers the advantage that application data remains exclusively within the system, and all communication can take place directly from the applicant management system. This eliminates the need to process data outside the system.

Additionally, all data can be removed in compliance with data protection regulations through a customizable deletion routine, according to the retention period you define.
