Explanation of term
You can set whether an application should be automatically deleted x days after reaching an application status. This is useful, for example, to ensure compliance with GDPR deletion deadlines.
Configuration
In the menu, you can find the option to configure automatic deletion per application status under application status.
Behavior in the system
- Usage
Final statuses should be assigned an automatic deletion period to prevent inactive applications from cluttering your system and overshadowing important current applications. - Reduction or deletion
When you enable automatic deletion in the application status, there are two options:- Reduce after: Number of calendar days from the status change until the action is executed.
When an application is reduced, it can no longer be accessed/viewed. However, the personal data remains available for duplicate applicant detection. - Delete after: Number of calendar days from the status change until the action is executed.
When an application is deleted, it can no longer be accessed/viewed. The duplicate applicant detection is also no longer available. However, statistical data remains.
The deletion process is fully automated. You will not receive a reminder before deletion unless you create a task definition with a task a few days before deletion.
- Reduce after: Number of calendar days from the status change until the action is executed.
How our customers use this
Most of our customers set a deletion period of 90 days after reaching the "Rejected" status.
However, it is important to discuss the deletion period with your company's data protection officers before defining it. Your company may have different requirements.
