In recent months, we have fundamentally revised the employee portal and will convert all existing employee portals to the new technology on 14 May 2024.

Please implement the following steps by then so that your onboardees have the best possible user experience in the employee portal.

1. Check logo and design

Since we have fundamentally revised the design of the employee portal, it is important that you check the appearance of the portals.
To do this, click on the button  Preview in the portal settings. See also: Portal settings
The following settings are transferred to the new employee portal: Logo, control colour and footer.


2. Set an app icon

So that onboardees can use the new employee portal as an app and your logo also appears there, you should create an app icon.
The following applies to the icon: Permitted file format: png. Maximum file size: 250 KB. Resolution: 1024 x 1024px

3. Formal or informal address

In the portal settings, you can specify for each portal setting whether you want to address your onboardees as "Du" or "Sie" in German. See also: Portal settings
Attention
If you choose the informal approach for one portal and the formal approach for another, we recommend that you edit the correspondence templates so that a neutral approach is ensured that fits both situations.


4. Customize correspondence templates

It is best to make this setting once the changeover to the new portal has been completed, as the registration process for onboardees has been simplified. You no longer need to enter a one-time token.

It is therefore necessary to adapt your correspondence templates accordingly.

  1. Search for the onboarding correspondence templates with a placeholder for the token ({EMPLOYEE_PORTAL:SIGNUP_TOKEN}).
    When the system is delivered, the system correspondence templates are called Employee portal: Create portal access and  Employee portal: Reset portal access.
  2. Do the 2nd step, which is called: Enter the following security code on the login page: {EMPLOYEE_PORTAL:SIGNUP_TOKEN}".
  3. Save the Ächanges.
