Explanation of terms
User groups allow you to restrict the view of certain areas in d.vinci and thus to individualize them.
Configuration
In the menu on the page User Groups you can create a new user group by clicking on + User Group or you can edit an existing one by clicking on the name of an existing one and then clicking on the Edit icon.
Behavior in the system

A user group consists of one or more users. - Naming
The name of the user group is freely selectable.
Many customers name the user group according to the functional group to which the people in it belong. For example: personnel, sales, accounting, etc.
However, there are also some customers who create an individual user group for each person and name it with the person's name. This allows for the greatest possible individual control of the view. - Filter
- The filter which reacts to the user group is called: With user group permission.

- Messages
- Tasks
- Job openings and job publications
- Applications
- Applications with Special Characteristics: DIS: Severely disabled applicant
- Inserting user groups in job openings
User groups can be stored in job advertisements. The users of this user group will then have access to these advertisements. What the users can do there depends on the role of the user, which gives the user individual permission. - Permissions
There are permissions that restrict the scope of action of a user to his user group. These are labeled ...view according to user group.
Attention
The role Line Management (standard) cannot see applications or job openings without a stored user group in a job opening. Also removing the filter has no effect - since the restriction ...view according to user group prevents this. - Restriction of the view
When using the user group in the alert or a permission with ...view according to user group, the view will be pre-filtered so that a user will only see tasks, messages, applications and alerts of his user group. - Tasks and messages
Tasks and messages are pre-filtered with the With group permission filter by default. If a user does not have a user group, he will not see tasks or messages by default. He has to remove the filter first. - Show all contents
Only by clicking away the automatic filter With user group permission: Yes, additional content that does not belong to the user group but is accessible to users of the organizational unit becomes visible. However, this is only possible if there is the stronger permission without the addition ...view according to user group in the role. - Concrete example
The role Human Resources (standard) can restrict itself the contents of the menu option applications. For this the user group of the user must be deposited in the job opening.
In the view with click on the menu point Applications then by the active filter With user group permission: yes, only the advertisements are listed, in which the user group is present. If necessary, the filter can be removed to see all other applications for calls for entries. - Locations in the system where you can use the user group

In many places in the system, the view can be restricted by the user group filter.
- Job opening
You can use the user group in the job opening to control who is authorized to view the job opening and the applications.
- Comments on an application
Only users who are authorized to view the application history/activities by the user group stored in the job opening or by a previous recommendation are displayed as comment recipients.
- Mailboxes
Only the people who correspond to the user group have access to the emails in the respective mailboxes.
- User
If a user group is selected in the user, the user only receives notifications for job openings and applications with the corresponding user group.
- Filter
- Move user groups
It is not possible to move user groups from one organizational unit to another.
- Deletion
It is possible to delete user groups at any time. These are then also removed from the users.
This means that after deletion, users may no longer see what they are supposed to see.
This is how our customers use it
Almost all customers use user groups. The department also gets the possibility to see the applications in the role Department (default) only if a user group is stored in the advertisement.
Many customers name the user group according to the functional group to which the people in it belong. For example: human resources, sales, accounting, etc.
However, there are also some customers who create an individual user group for each person and name it with the person's name. This allows for the greatest possible individual control of the view.
