Explanation of term

iCal (iCalendar) is a file format used for managing appointments. If an email has an iCal file attached, the appointment can be added to the calendar with just a few clicks.


Configuration

In the Basic Settings under the Calendar tab, corresponding options can be selected for Email sending for appointments.


System behavior

  • Available options
    • Without iCal
    • With iCal - Organizer is the logged-in user
    • With iCal - Organizer is the default email sender
  • iCal file as an attachment
    If email sending for appointments with iCal is activated, the email will include not only the text but also an attachment. This attachment is the appointment, which recipients can add to their calendars, such as Outlook, Google, etc.
  • Email for the organizer
    The organizer of a meeting does not receive an email with the appointment if the option With iCal - Organizer is the logged-in user is selected in the settings.
  • Canceled appointments
    If recipients cancel the appointment through their calendar functionalities, this will not be transferred to your personal inbox (e.g., in Outlook) but to the d.vinci standard inbox.
  • iCal as an informative component
    The iCal is purely an informative component and cannot be rescheduled. Therefore, appointments must be newly planned and sent if there are changes to the schedule.


How our customers use this

To ensure that participants do not have to manually create the appointment each time, it is recommended to activate the function for sending appointments with iCal.
