Outlook and your d.vinci are technically connected only if you are using the Calendar Integration. If you do not use it or only use the Basic version, you habe to book rooms manually in Outlook.


Without using the Calendar Integration, you will receive emails from d.vinci in your Outlokk mailbox for different situations. For example, for incoming messages from applicants, in the form of daily notifications, and when you have been added to an appointment as a particiapant.


Depending on your d.vinci settings, appointment invitations can have an iCal file attached, with which you can enter the appointment in your mailbox (e. g. Outlook).


Adding an appointment to the mailbox, using Outlook as an example:

  1. Double-click the iCal file appointment_invitation.ics attached to the email. A dialog appears, asking if you want to add this appointment to your calendar.
  2. Click Yes. The appointment with all dates and the button to accept or reject the appointment will be displayed in a separate new window.
  3. Click the option that suits you (Accept, Tentative, or Decline). The window will close and the appointment will be saved in your calendar should you have accepted it.


Attention

The notification whether an appointment invitation has been accepted is sent to the mailbox set as default email sender in Basic Settings, if the organizer is the default email sender.

We recommend this settings because there are often problems with the delivery of messages when the logged-in user is also selected as the organizer.

Please discuss internally if the organizer of the appointment should have access to the mailbox or if they need a separate information from you as participant in case you are unable to participate.
