Manual deletion: Delete application and delete statistical data

If you delete an application manually, you can select whether statistical data should be retained. If you delete the statistical data as well, the application is completely removed from the system.


How our customers use it

If you create test applications and then delete them, you do not want to keep statistical data because it would distort your reports.

Manual deletion: Delete application and keep statistical data

If you delete an application manually, you can choose whether to keep statistical data. If you keep the statistical data, it will be stored anonymously (detached from applicant and application) and evaluated in reports. Data such as gender, application type etc. is retained, which helps you to recognize and optimize your applicant structures.


How our customers use it

If applicants ask directly for deletion of their data, you can remove them from the system, but keep the statistical data for evaluation.

Automatic reduction and Deletion

When editing or creating application statuses, you can specify per application status whether the application should be automatically deleted x days after changing to a certain status. Optionally, you can also specify whether the application should first be reduced before deletion. 

As minimum for the reduction you can set 90 days, as maximum 365 days.

As minimum for the deletion 14 days can be set, as maximum 1095 days. 


Reduction is a quasi-deletion that precedes the actual and final deletion. Reduction is used to ensure that conflicts are triggered for a limited time for applications that are to be deleted following a rejection, for example.


Note  

Reduced applications are hidden everywhere in the system. However, according to the directive of the General Data Protection Regulation (GDPR), reduced applications are not considered to be deleted, since personal data continues to be retained in the system (until subsequent final deletion), which is used to identify the applicant in the context of conflict detection.


Even if the actual deletion takes place only after the reduction, the following data of the application will already be deleted during the reduction:

  • Resubmissions
  • Recommendations and feedback
  • Appointment surveys
  • Pending notifications
  • Delayed dispatch
  • Attachments
  • Interviews
  • Correspondence (mailbox)
  • Questionnaires and feedback forms
  • Depending on selection: Answers to screening question

Fields of the person or application will not be deleted.


How our customers use it

  • You can use automatic reduction if you want to rid your system of finalized applications, for example, to prevent applicants from being contacted again, but want to keep them for conflict detection.
  • You can use automatic deletion (also without reduction), e. g. to remove applications from the system six months after rejection in accordance with the deletion concept (statistical data is retained).
