Explanation of term
A person is a data record consisting of sensitive personal data. This record can be synchronized across all linked d.vinci software products.
Configuration
- Applicant Management
Basic data of the person can be found in the application under the Data tab in the Properties, Contact Data, and Career sections. - Onboarding
Basic data of the person can be found in the Onboarding module under the Data tab in the Personal Data and Contact Data sections.
System behavior
- Assignment to Processes
In each d.vinci software product, a person is assigned to exactly one process, such as an application or an onboarding process.
- A person can have multiple applications. To avoid duplicates, there is a conflict check.
- A person can go through multiple onboarding processes in Onboarding.
- Creating a Person
A person cannot be created manually. It is automatically generated:
- When an application is received from the application data
- When an onboarding process is created
- Synchronization and Data Transfer
When transferring persons between software products, such as when starting an onboarding process for a hired person, relevant personal data is transferred:- A person contains unique, identifiable data such as name, date of birth, address, and contact details.
- Only product-relevant data is synchronized. Specific data relevant to only one product remains within that product.
- Management
The person is not managed centrally but exists separately in each product. - Deletion
The deletion of a person is not synchronized and must be carried out separately in each product.
How our customers use this
The basic data for applications and onboarding – essentially, the identity behind the process – is the personal data. This is essential for all customers in order to establish contact.
