You want to move an application to another status, but you may not have shortcut buttons, can't see the status change button, or a status doesn't appear in the selection list?
Attention
If you change the permissions, you change them for all users who have this permission in their role.
Therefore, also check the users of the role and consider whether they should be able to do the action you want to do. If this is not the case, you would have to create your own authorization, which you then link to a new role and assign to yourself.
Check if the application status can be seen
You know there is another status XY, but you can't see it? This could be because it is not yet stored as an application status in the permissions of your role.
- Check the application permissions
If the status to which you want to set the application is not available in the application status tab, then you do not have the option to see the status in the authorization. In this case do the following. - Go back to the user and check the roles the user has one by one.
- To do this, press on the name of the role. The page with the details of the role will open. For you, the Permissions: section is relevant.
- Look which permissions are contained in the role. You are looking for a permission that is probably called something like Application status of role XYZ or Additional application status of role XYZ. You can also work your way down the list of authorizations if you don't see it at first glance. You are looking for a permission that matches the specific role the user is supposed to do things with and that has data entered behind the Application Status: field. If you don't see the status here, you'll need to add it by editing the permission here.
- If you have done that, check if the tab Status change also has entries in the permission. If this is not the case, the status change is probably used by another permission, which you should call and edit.
- Enter in the Status change tab all the status changes that should be possible to the status (Initial status: X / Next status: The one you want to have.) and from the status away (Initial status: The status you were looking for / Next status: The status you want to get afterwards).
Now you are done, you can see the status in the status change selection in the application and change to it.
Check if a status change is technically possible
You can usually see the status but not in this case? Maybe there is no status change created from the current status to the desired status.
- Check which permissions are included in the role. You are looking for an authorization which is probably called something like: Status change of role XYZ or also Additional status change of role XYZ. You can also work your way down the list of authorizations if you don't see it at first glance. You look for a permission that matches the specific role with which the user is supposed to do things and for which a number badge is visible behind in the Status Changes tab. This means that status changes have been created here.
- Go to the Status Change tab and look, in the leftmost column, for the status the application is in now. Most likely, the Next status column will not contain the status you would like to move the application to.
- Press the edit icon in the column and add the status as the next status.
You are done and can now change the status in the application.
