Explanation of term

d.vinci Multiposting enables you to publish job advertisements simultaneously on multiple job boards. The entire process is centrally managed via d.vinci, eliminating the need for communication with third-party providers. Your publishing process is simplified, and with AI-supported analysis, we help you find the optimal job board for each job advertisement and target audience.

Configuration

On the Multiposting Profiles page, you can click the + Create button to create a new Multiposting profile. See also: Create Multiposting Profile.

You can then activate the campaign via the publications. See also: Activate Multiposting Campaign

System behavior

  • Prerequisites
    These are required to use Multiposting:
    • Permissions
      • Creating Multiposting Profiles
        • Permission through role
          To create Multiposting profiles, you need the Create Multiposting Profiles permission.
          We have assigned this to the system role Administrator (Default). If you want to use this in other roles, add the permission to the role.
        • Authorization
          Additionally, the person must be listed as an Authorized Person in the License tab under Basic Settings, as the terms of use and data processing agreement are accepted with the Multiposting profiles.
      • Activating Multiposting Campaigns
        To activate a campaign via Multiposting in a publication, the person needs the Activate Publications permission.
    • Billing Addresses
      You can manage billing addresses in the master data. They are used to store the correct billing data for orders or services.
      Please note the billing instructions to avoid additional costs.

    • Multiposting Profiles
      You can manage Multiposting profiles on the corresponding page. They contain framework data for publishing job advertisements via d.vinci Multiposting. Here, you save settings that can be used for publishing job advertisements (e.g., company name, logo, billing address). The profiles simplify the management and reuse of configurations. Learn how to create them here: Create Multiposting Profile
      Additionally, with the booked Plus version of Multiposting, you can store your master contracts with the job boards of Multiposting in the tab Master Contracts.
    • Multiposting Campaign
      Start Multiposting campaigns in an active publication. With Multiposting campaigns, you can use d.vinci Multiposting to publish job advertisements simultaneously on multiple platforms. This saves time and increases the reach of your advertisements. See: Activate Multiposting Campaign
  • Automatic Pre-filling
    All relevant information, such as job description, title, and workplace, is taken from the publication and automatically inserted into the campaign.
  • Reference Number
    Some job boards, such as StepStone, require a reference number in the job posting. When posting via multiposting campaigns, we pass on the job publication ID as the reference number if no reference number is specified in the job posting.
  • Campaign Language
    The language of the campaign is automatically taken from the publication.
  • Selection of Recommended Job Boards
    The AI-supported analysis automatically suggests the best job boards for your advertisement. The selection is based on experience and the relevance of the platforms for the respective target group.
  • Back to Publication
    When in the settings of the Multiposting campaign, you can click the back arrow next to Advertisements in the page navigation to return to the publication.
    Attention
    Any inputs made will be lost.  
  • Aborting While Filling Out
    If the connection is interrupted, for example, due to prolonged inactivity or an internet connection issue, the data will not be saved.
  • Publication Status
    You can always see whether a job you have published via Multiposting is still active or not based on the status of the publication channel.
  • Textual Changes
    Campaign details can be viewed and adjusted at any time. If you make extensive and especially content-changing adjustments, these may be rejected by the platforms/job boards afterward, and a new booking may be necessary.
    Changes to the Multiposting profile are not possible for ongoing campaigns.
  • Missing Platforms 
    If you are missing platforms in Multiposting, you can inform us at any time. We will check whether an integration is possible and inform you about the next steps and options. Write us an email.
  • Errors
    Errors that occur after the campaign has been ordered are displayed in the campaign details. These contain a detailed description and instructions for resolution. In addition, an email is triggered to the person posting the job. 
  • Notes on Multiposting Profiles
    • Renaming Multiposting Profiles
      A profile can be renamed at any time. Changes take effect immediately for all future campaigns using this profile. However, ongoing campaigns remain unchanged.
    • Deleting Multiposting Profiles
      Deleting a profile is possible if it is no longer linked to active campaigns. Deleted profiles cannot be restored.
  • Notes on Multiposting Campaigns 
    • Automatic Filling: If AI pre-filling is enabled in the Multiposting profile, many fields will be automatically filled, saving you time.
    • Review: Before the final order of the campaign, the settings can be reviewed and adjusted in the order details if necessary.

Notes on configuration

  • Multiposting Profiles
    • Name
      Choose a name that shows your colleagues the purpose of the Multiposting profile. For example, it might make sense to use the name of the company/subsidiary or location, depending on how detailed you want to be. 
    • Organizational Unit
      The organizational unit determines which Multiposting profiles are available for selection.
      Only those listed on the organizational unit where the advertisement is located or below it will be displayed.
    • Application Portal
      Select the application portal to be linked with the profile.
    • Company Name 
      This information will be displayed on the job boards.
    • Company Logo
      The logo should be in supported formats (.png, .jpg) and not exceed a maximum file size of 250 KB.
    • Terms of Use

      If you select I agree, you can use Multiposting. Otherwise, the necessary agreement will not be established. 

    • AI-Powered Pre-Fill
      All relevant fields, such as job description, title, and workplace, are taken from the publication and automatically filled.
      Activate this option to automatically transfer relevant information from the publication.
      This allows the AI to automatically pre-fill empty input fields in your Multiposting campaigns. It uses relevant information from the Additional Context field to complete missing details, so you only need to check the contents for accuracy. This saves you time and ensures that all information is consistent and complete.
    • Additional Context
      Add additional information here that might be important for the job boards, such as the number of employees or specific requirements. This information is used when you use AI-supported pre-filling. 
    • Automatic Termination
      If you select the On option, the publication of Multiposting job advertisements will also end on the night of the respective day when an advertisement or publication is taken offline.
      Until then, automatic termination can be prevented by setting the status of the advertisement and publication back to "active."
      If the publication was still in the "In Progress" status, no notification will be given when the advertisement or publication is deactivated. The campaign status changes to "Planned Termination."
    • Billing Address
      Define which billing address will be used for the campaign. Options include predefined addresses, order confirmations, or a selection from the master data list.

      • Job Publication
        This is 1:1 the position as named in the publication and cannot be changed.
      • Multiposting Profile
        Here you can select the Multiposting Profile with which you want to activate the campaign for this publication.
      • Billing Address
        If the billing address is not defined by the Multiposting profile, you can select it here.
    • Precise Target Group Reach (displayed when AI pre-filling is off)
      The information in this area is crucial for recommending the best channels for publishing the job advertisement. The goal is to address the right talents as effectively as possible.
      If the AI-supported pre-filling option is enabled in the Multiposting profile, these fields will be automatically filled. The suggested entries can still be individually adjusted. Without pre-filling, all information must be entered manually.
      • Job Title
        The job title should describe the position or role of the sought-after person as precisely as possible.
        Important: Avoid internal titles that may not be recognized outside the company. Instead, use terms that talents in the job market know and actively search for.
        A clear and market-standard job title is crucial as it directly influences the selection of the best channels for your Multiposting campaign.
        Examples:
        • Instead of "Senior Sales Wizard," use "Senior Sales Representative."
        • Instead of "Marketing Ninja," use "Marketing Manager."
      • Job Function
        The job function describes the overarching category or area of activity of the advertised position. It is used to classify the job advertisement into the appropriate target group.
        Important:
        Select a job function that is closest to the position, even if it is not a perfect match.
        This information is used to identify the channels where similar roles perform particularly well.
        Examples of job functions: Sales, Marketing, Education, Finance, Retail.
      • Location
        The location indicates the general area (e.g., country or region) where the job board or platform should search for talents.
        Important:
        Only certain general areas can be specified here, such as "Germany," "Hamburg," or "Hawaii - United States."
        More precise details about the workplace (e.g., city or remote work) can be added later on the Job Details and Workplace page.
      • Industries
        The industries indicate the economic environment in which the hiring company operates. This information is optional but can further optimize the target audience selection and channel recommendations.
    • Channel Selection
      The recommendations come from our Multiposting partner VONQ. Based on the information you provide, channels that are recommended by VONQ according to your specifications are listed first on this page. 
      • Channel Filters
        Here you can search for a job board/platform, etc., to publish your job advertisement.
        Alternatively, you can provide information to make it easier to select the job boards/platforms. 
    • Target Group
      Fill in the details about your target audience to tailor the advertisement to the desired talents. This information helps identify the right channels and target groups for your job advertisement.
      • Education Qualification
        Select the minimum education level required for the advertised position.
        Important
        Consider what education level is truly necessary to avoid overly narrowing the target audience.
      • Level of Experience
        Select the experience level the desired talents should have. Is it an entry-level position, a role for experienced professionals, or a leadership position?
      • Job Function
        Specify the function of the specific job to categorize the advertisement appropriately.
      • Industry
        Specify the industry in which the advertised position is located.
    • Contact Information 
      The data entered in this section will be available to applicants on the job boards/platforms as contact options. 
      • Full Name (optional)
        Enter the contact person for the advertisement here. 
        The name of the responsible user for the advertisement will be entered here. 
      • Email Address (optional) 
        Enter the email address of the contact person for the advertisement. This allows you to receive applications from job boards that do not integrate with d.vinci. 
      • Phone Number (optional) 
        This field is initially empty. You can enter the appropriate number here. 
      • Checkbox: Contact Information corresponds to recruiter information
        If you enable this option, the data of the responsible user for the advertisement will be entered into the above fields. If you change the entered data, the checkbox will be deactivated.
    • Job Details and Place of Work
      The information you provide on this page will be displayed in your job advertisement on the job board/platform. 
      • Job Title
        This is the headline/title of the job advertisement as applicants will see it on job boards/platforms, etc.
      • Description
        This includes all textual information you previously entered in the publication. We automatically transfer the content here and list it below each other. 
      • Fill in with AI
        Clicking this button will fill in all other fields using AI. You can, of course, change the values afterward. 
        • Years of Experience
          Select a value between 0 and 40 to specify whether you are looking for entry-level candidates or individuals with extensive experience in the field/job. 
        • Contract Period
          Here you can specify whether the position is temporary, permanent, an internship, or something else. 
        • Weekly Working Hours
          Here you can specify the weekly working hours. Only the "Up to" value is mandatory. 
          Examples:
          • Full-time corresponds to 40 hours for you. You are looking for full-time candidates.

            Entry: From 40 hours to 40 hours

          • You are looking for part-time candidates for exactly 20 hours.
            Entry: From 20 hours to 20 hours

          • It is possible for applicants to apply for both full-time and part-time positions with a minimum of 20 hours.
            Entry: From 20 hours to 40 hours

        • Wage/Salary Range
        • Place of Work
          • Street, Number
            Enter the street of the workplace here. 
          • Additional Adress
            This could be "c/o" or other relevant details. 
          • Zip Code
            Enter the postal code of the workplace.
          • City
            Enter the city of the workplace.
          • Country
            Enter the country of the workplace.
          • Remote work allowed
            Check this box if the position is fully or partially remote. 
            We recommend making this clearer in the description. 
    • Order Summary
      In the order overview, you can see your cart overview. Additionally, each section you filled out can be reviewed again using the downward arrows.
      • Cart Overview
        • Credit
          Due to contingents or refunds, you may have a credit. This will be displayed in this section. Payments will first use the credit. 
        • Total Amount
          This is the sum of all your bookings at that time.
    • Order Now
      A confirmation of the order will appear here. You will then receive an email with the order details.
