Definition

During the recruiting process, sensitive documents such as salary agreements, internal approvals, or strategic notes are often created. These can be marked as confidential so that only managers or selected HR staff with the appropriate permissions have access.

Comments can also be declared as confidential. 


System behavior

  • Permissions
    Confidential attachments can only be seen by users who have the role permission Confidential information of applications | view/edit. This is intended in the Human Resources (Standard) role.
  • Attachments
    Attachments can be added to an application. These are generally visible to all users who have access to the application – except for confidential attachments. Confidential attachments are documents that can only be viewed by users with the right to see confidential application information.

  • Status Change
    During a status change, confidential documents and/or messages may be generated, such as employment contracts or messages containing sensitive information. These documents are also displayed in the application history, where they may be visible to users who should not see them.
    For this reason, there is a field confidential information field for each application status. When this feature is enabled, comments made during a status change, as well as generated documents and messages, are treated as confidential information. Confidential information in the application history is only visible to users with the Confidential information of application | view/edit permission.

    Attention  

    The setting as confidential or non-confidential applies retroactively to all applications and all content created during a status change to this status.

  • Confidential Comments
    You can also declare a comment as confidential.
