Create mailbox

You can create an unlimited number of mailboxes in your d.vinci system. You can forward applications to these mailboxes, e.g. from Outlook or via the Scan2Mail function of your scanner.
The applications can be captured directly from the mailbox. The attachments are then automatically added to the applicant file.


Note  

  • Naming the mailboxes
    We recommend that you name your mailbox differently from the default email sender so that your colleagues' out-of-office information does not end up between applications.
    You usually use an address such as: noreply@HereIsYourSystem-URL.com as the default email sender in the basic settings.
    For the mailboxes to which you forward applications, for example: import@HereIsYourSystem-URL.com or bewerbungen@HereIsYourSystem-URL.com

  • Create mailboxes


Proceed as follows:

  1. Open the page Mailboxes.
  2. Click on  Mailbox. An input form is displayed.
  3. Fill out the input form.

  4. Click on the  Create button to save the entry. The Mailbox  page is displayed with the details of the mailbox created.

Edit/rename mailbox

The entries for Lost to and selection of the user group can be changed at any time.

Proceed as follows: 

  1. Open the page Mailboxes.
  2. Click on  Mailbox. An input form is displayed.
  3. Change the desired entries in the input form.

  4. Click on the  Update button to save the entry. The Mailbox  page with the details of the changed mailbox is displayed.

Delete mailbox

You can delete your mailboxes at any time if you no longer need them. However, all messages in the mailbox must first be edited before the mailbox can be deleted.

Proceed as follows:

  1. Open the page Mailboxes.
  2. Click on the icon  in the line with the name of the mailbox you want to delete.
  3. A note appears in the foreground to indicate whether you really need to delete the mailbox or whether there are still dependencies that need to be resolved first.

  1. Open the page Mailboxes.
  2. Click on the name of the mailbox. A new page with the details of the mailbox opens.
  3. Click on the  Delete button at the top.
  4. A hint appears in the foreground as to whether you really need to delete the mailbox or whether there are still pending issues that need to be resolved first.
