Explanation of term

A release process can be started for a job publication. This helps ensure that at least a four-eyes principle is followed when publishing job openings.


Configuration

The process cannot be configured.
After creating a job publication, the button    Release Process can be pressed.

System behavior

  • Permissions
    As recipients, all users can be selected who have at least the right View job openings and publications according to user group in a role. It is possible that a user can only review the publication but cannot make changes. Viewing permissions for the job opening and publication are also required.
  • Select recipients
    When starting the release process, you can specify which recipients should approve the publication. Multiple recipients are possible, but the first response ends the release process.
  • Comment
    A comment can be added when starting the release process.
  • Absence
    If the last selected user is absent (e.g., on vacation), the button remains available, allowing you to send the release request to another recipient.
  • Tasks
    No task is created for the recipient of the release request.
  • Email notification
    Those who receive a release request will receive an automatically generated email.
    Using the link in the email, the user can directly access the publication, approve it, or reject it. A comment is mandatory to avoid accidental clicks and ensure the decision is traceable.
    The email follows this format:
    • Dear Ms. Müller,
    • The release for the publication "Position xyz" of the job opening "Main title xyz" is required.
    • Comment: please review
    • Triggered by: Ms. Meier
  • Release options
    • Approve publication
    • Do not approve publication
  • Filtering
    In the job opening overview and the application search, you can filter by the value Ongoing release process. This allows you to see at a glance which publications still need to be reviewed.
  • Changes
    Comments or decisions cannot be changed. If necessary, the release process must be restarted. However, the old entry remains.
  • Deletion
    Entries for the release process cannot be deleted.
  • History
    Whether a release process was started can be traced in the tab History tab of the Job Opening.


How our customers use this

Many customers publish directly via the publication channels without a release process. Usually, the review is done using the button Job Advertisements and then the button Preview, which shows how the job posting will appear to external users.
