Technological Modernizations

We are constantly working to improve d.vinci and also to keep it technologically up-to-date. Therefore, this release starts a series of technical modernizations that will be implemented step by step everywhere in the system. For starters, this modernization can be found on the Media page. When editing an existing media file, the future d.vinci becomes visible: the editing mode replaces the edit input form. That is, pressing the   icon to edit elements no longer exits the displayed page to make changes in an input form. Instead, the page switches to an editinig mode and the changes can be made immediately on the same page. On the technical side, this is an expression of modernization in the background. But from the user's point of view, this also makes editing easier, as there are fewer page changes and loading times are also reduced.

The daily email sent to d.vinci users (if set) now also lists reminders of applications and job openings.

On the Layouts page, there used to be a very long form for customizing CSS variables of the application portal layout in individual fields. Our experience has shown that only in rare cases, content was entered into these fields. Instead, in most cases, the free text field for manually entering custom stylesheets is used. Therefore, we have removed the single fields for layout customizations from the page, so that only the free text field for custom stylesheets remains. This makes the page clearer and easier to use for those who know a lot about CSS layouting and Bootstrap customizations.
If entries have been made in the individual fields, these have been transferred by us to the free text field.

A security vulnerability was closed when exporting raw Excel data (form injection). In the course of this, the formatting of Excel table cells was adjusted. For example, a date has the format "Date" and numerical values are formatted as numbers. This allows the data to be used more precisely, e.g. when creating pivot tables.

Export Users to Excel Files

With the right to view applications, you can now export users to analyize them and check their permissions.

When created, each application receives a randomly generated mailbox address, the so-called candidate address. The character strings used in this address are usually random arrangements of letters and numbers with no discernible meaning. However, it could happen in extremely rare cases that, purely by chance, actual words were generated that are understandable for equally random languages. Since the mailbox address is visible to applicants in the course of email communication, legible words could cause irritation if meaning is attributed to them. For this reason, mailbox addresses are now generated in a way that should preclude the emergence of intelligible words in any human language.

Experience shows that users usually create elements for their own country. For this reason and from now on, when creating applications or locations and company master data, the Country field is preselected with the country of the organizational unit of the user who is creating the element. This applies only, if the user's organizational unit actually has a country assigned. This saves you the step of selecting you own country everytime you create an element.

In the d.vinci HTML editor, all functions are now translated into all languages. This is relevant for systems used abroad, where for certain languages the HTML Editor functions were displayed only in English.

Status Changes with Confidential Information

It may happen that confidential documents and/or messages are generated during a status change, e.g. employment contracts or messages with sensitive content. Such documents are also displayed in the application history, where they are also visible to users who should not see this data. Therefore, there is a new Confidential Information field  in the application status. If this property is enabled, comments made during status change and documents and messages generated are treated as confidential information. Confidential information is displayed in the application history only for users with the right to see confidential information of applications.

Caution  

The setting as confidential or non-confidential becomes effective retroactively for all applications and all content generated in the course of a status change to this status.

Hiring request submitters are informed via email about hiring requests that have been approved. The email has been expanded and now contains a approver list including the name and last comment of each approver. This allows hiring request submitters to view at a glance, who has approved and what comments they have made.

When solving a conflict between two or more applicants with the same name, if those applicants are recognized as the same person, they can be merged to become one person. When merging, the email address of the last application received is used for the merged person. Merging non-identical persons may cause privacy issues if sensitive information of one person is sent to the email address of another. For this reason, a warning is now displayed during conflict resolution to point out this danger. This is intended to increase the data protection sensitivity of d.vinci users.

When changing the status of one ore more applications to a final status, for each application the submission date is displayed. The submission date shows how long the application has been in the application process, so that the correspondence text can be adjusted if necessary.

If users move an application to a job opening for which they do not have viewing rights, they will no longer be able to see the application. To avoid confusion about whether the move was successful, a success message is displayed.

Using form fields you can expand job openings, hiring requests, and questionnaires with custom fields. The following improvements make form fields easier to use and understand:

  • The previous form field types have been supplemented so that you can now choose from four text options with character limits. So you can specify how many characters min. and max. the form field may contain. If the character limit is undercut or exceeded when filling the form field, the system issues an error message.
  • You can specify whether and with what content the form field should be preset. For example, you can create a form field for a video and display it in the form with the video URL path preset. When editing the form, you can edit or leave the preset content. This saves you from having to enter fixed content into the form each time. For variable content, you can insert a content template that only needs to be slightly adjusted when editing the form. (Note: This does not apply to hiring request templates.)
  • For each form field, you can specify a help text that will be displayed in gray font below the form field. The help text can help to understand the form field or give hints about the content to be entered.

On the Dashboard page, each applicant list displays now contains the   icon for opening the associated job opening. This way you can get to the job opening faster if you want to view its details.

When downloading an application using the Open All Attachments button, the downloaded PDF file is now fully named. Instead of "document.pdf", the file name now includes the current date and the applicant's name. When downloading multiple applications or the same application on different days (and thus possibly in different versions), you can now identify the file better.

The API for applications can now be used to read the job opening's screening questions and display them in your own application form. Accordingly you can transfer your applicant's screening question answers to d.vinci via the same API.

For each user you can now see which application statuses the user is allowed to view and which status changes they may conduct. To do so, the user administration page for each user has the button Application Permissions. Here, the following information is displayed:

  • Application Statuses that the user can view.
  • Permissions of the user regarding applications.
  • Workflows and status changes contained in there that the user may conduct due to their rights.

Automated Updating of SSO Metadata XML File

For SSO use, administrators can specify a URL path from which the system retrieves the required metadata XML file from the identity provider. Previously, when the source file was renewed, administrators also had to renew the file retrieval. From now on, the system automatically and regularly checks the source file behind the URL path. If the system detects a change, it adopts the updated file. This makes SSO maintenance easier.

  • If the automated update fails three times, an error message is displayed exclusively for users with the right to edit SSO settings.
  • As an alternative to URL retrieval, the Metadata XML file can still be uploaded to the system manually. Previously, a warning was issued starting 30 days before the certificate expired. This period has been reduced so that the system now issues a warning starting 20 days before certificate expiry. Also, this warning is displayed only for users with the right to edit SSO settings.

The performance of displaying job advertisements in job portals has been increased. Job ads will now be displayed more quickly in job portals.

Layout Improvements

Now two weeks have passed since the turn of the year and you have given us a lot of feedback on the new layout. In addition to the many positive feedbacks, we have also received some requests for improvement, which we are addressing in this release.


Your feedback is always welcome and appreciated so that we can continue to grow together and keep on optimizing your d.vinci.


  • In the navigation bar, the colors for active and inactive menu items have been reversed. All menu items are now white and only the active menu item is highlighted. This makes it more intuitive to see which menu item is active.
  • The stroke width has been increased for titles, buttons and icons. This creates more contrast and improves the overall readability.
  • Small flags protruding from the page margin no longer overlay the page scrollbar. This allows you to scroll properly again.
  • In the background image, the color shape was reduced. This makes the new layout look lighter.
  • In the pages Dashboard, Job Openings, Hiring Requests< Events, individual entries are highlighted in a gray tile. This allows you to better distinguish between individual entries.
  • Accordingly, the icon for the application status New now offers a better contrast. So you can better see the application status on the gray tiles.
  • On the Job Opening menu page, bidding statuses as well as job publication channel statuses are now better recognizable. So you can see the current status at a glance.
NEWPreview Email Correspondence Templates

After this was already possible for document correspondences, you can now press the Preview button when conducting a status change with e-mail correspondence to get a visual preview of the outgoing email. The preview will also show all placedholders filled-in with the exception of some placeholders whose content will be generated only after the status change.

In case of mass status change with outgoing correspondence, the preview is displayed only for the first email.

This way you can view emails from the recipient's eyes before sending them.

NEWInitial Status for Manually Entered Applications Without Data Protection Consent

When manually entering e.g. email applications or paper applications (via CV Parsing), the applicant's consent to the data protection texts may not be available. You can now assign such applications their own initial status (that you have previously created), e.g. Get Consent. If you do not check the checkboxes for data protection consent when entering an application, the application automatically receives the alternative initial status. Create a few additional statuses as well as manual or automated status transitions to round up your workflow. This way, you can integrate the process of collecting data protection consents into your d.vinci workflow and don't have to remember it. It also ensures that you remain within legal framework.

When parsing applications, users are advised to check whether the parsed data has been read and transferred correctly. In this way, users are made aware that parsing errors do occur, but can also be detected early by checking.

Better

When using the d.vinci Events module, event observers receive additional viewing permissions for applications of event participants. So far, such applications as well as the underlying job openings were displayed on the event observers' dashboard. This has now been changed so that - similar to recommendations - event observers can only open additional applications within the event. This way, the event observers' dashboard is not overloaded and some data protection concerns are taken into account.

Better

In forms, instead of the generic five free-text lines, a country-specific address format is now displayed for the country Bulgaria .

Fixed

When transferring application data via LinkedIn, the profile photo of the applicant was temporarily not transferred.
