Explanation of term

The applicant form is a type of questionnaire through which candidates submit their applicant data.
The part of the application form that contains the questions for the candidates is colloquially also often called the application form.


Configuration

Open the page Questionnaire and press + Questionnaire to create a questionnaire of the application questionnaire type.


Behavior in the system

  • Tabs
    The application questionnaireconsists of four tabs.
    • Data
      This is where basic configurations of the questionnaire are defined.
    • Intro Page
      Before the applicant fills out the questionnaire, a preliminary page can be shown. This can be used as an introduction to the topic and can be enabled/disabled directly in the Intro Page tab.
    • Form
      Here, the fields of the form are selected, already created screening questions added, and all consent texts maintained (U16 applications, privacy, extended use).
    • Confirmation page
      After the applicant has completed the questionnaire and pressed submit, a success message will be shown. Other content can also be maintained.
  • Standard options
    There are default questions stored in the Form tab in d.vinci. These can be declared as mandatory fields, optional, or hidden.

      A CAPTCHA is a test used to distinguish whether an input comes from a human user or an automated bot. Enabling this feature can prevent mass application submissions. See: Avoiding Spam / Dealing with Spam.
  • Screening Questions
    The questions in the Form tab can be screening questions.
  • Selecting the application form
    An application form can be selected here:
    • In the job opening
      When creating or editing a Job Opening, the application questionnaire can be selected. Without selecting an applicant questionnaire, the default application form stored at the application portal will be shown.
    • In the application portal
      An application questionnaire must be selected in the application portal. It will be active for job openings where no specific application questionnaire has been selected.
      You can also choose whether a fixed application questionnaire should be used. This setting provides the selection of an applicant questionnaire for specific portals, such as the intranet.
  • Which form is active?
    The application form from the advertisement overwrites the default setting in the application portal unless the application form is stored as a fixed applicant form in the application portal.
  • Double email address
    It is not possible to set up double email input to prevent input errors in the application questionnaire.


This is how our customers use this

  • Standard
    Every customer who receives online applications uses at least one application questionnaire. Without this, online submission of applications is not possible. Often the name of this form is Standard.
  • Short application
    Many customers set up additional short application questionnaires that only ask for essential data, such as name, email address, phone number, and application documents. Afterward, they send another questionnaire via email to candidates suitable for the position.
  • Formal address
    Some customers wish to create a questionnaire where candidates are addressed formally. Screening questions can be written in formal language, but button labels need to be adjusted by us. Simply contact us.
