Create Intranet Application Portal
Follow these steps:
- Create a new intranet publication channel.
- Create a new intranet application portal.
Configuration:- Name: Intranet
- URL Path: intranet
- Publication Channel: the one created earlier
- Interface: public
- Google for Jobs Enabled: No
- Special Markings: IA: Internal Applicant
- IP Access Rules: Optionally, the intranet portal can be restricted to specific IPs, so that access to job postings is only possible from within the company network. Enter an IP address or IP range for this. See also IP Access Rules
- After creation, copy the URL of the application portal from the properties card and insert it as a link into the intranet.
or
Embed the job list into the intranet. - Activate the publication channel in the publication that is to be posted in the intranet.
Protect Intranet Application Portal from External Access
Your intranet is a closed system and should remain that way? Here’s what you can configure:
Restrict Access to Job Listings to a Specific IP Range
Use the IP Access Rules feature to restrict access to internal job postings by IP addresses or IP range.
When this feature is enabled, Google for Jobs will automatically be deactivated, as will the XYZ feature.
Advantage: The link to the internal job can be sent to someone externally, but external users will not be able to open/fill out the application form. This prevents external users from applying and having the special marker IB automatically assigned.
Disadvantage: If your employees are working from home without a VPN, they may encounter problems submitting an application from home.
Follow these steps:
- Open the Application Portals page. The overview page with the same name will be displayed.
- Click on the name of an application portal where IP range access restriction should be applied. The Application Portals page with the portal details will be displayed.
- Click on the Security tab. The Application Portals page with the opened Security tab will be displayed.
- Click on the edit icon behind Settings. Editing options will be displayed.
- Enter the IP addresses into the IP Access Rules field through which the application portal should be accessible.
- Click Update to save the changes. A success message will appear.
Prevent Google from Finding Internal Job Listings
To prevent search engines from indexing job listings from the start, you can enable the Application Portal Visible to Search Engines feature. This instructs search engines not to index the content and not to follow the pages and their changes.
When this feature is enabled, Google for Jobs is automatically disabled.
Follow these steps:
- Open the Application Portals page. The overview page with the same name will be displayed.
- Click on the name of an application portal whose job postings should not be listed in search engines. The Application Portals page with the opened Data tab will be displayed.
- Click on the edit icon behind Search Engines. Editing options will be displayed.
- Enable the Application Portal Visible to Search Engines feature.
- Click Update to save the changes. A success message will appear.
Restrict Access to Job Listings via Single Sign-on
By using the SSO for Application Portals enabled feature, access to the application portal’s URL will only be granted if users are logged into d.vinci or if they log in with their Single Sign-on credentials when they access the URL of the application portal.
Learn more about SSO for Application Portals enabled in the main article: Application Portals
Follow these steps:
- Open the Application Portals page. The overview page with the same name will be displayed.
- Click on the name of an application portal that should only be accessible via SSO. The Application Portals page with the portal details will be displayed.
- Click on the Security tab. The Application Portals page with the opened Security tab will be displayed.
- Click on the edit icon behind Settings. Editing options will be displayed.
- Enable the SSO for Application Portals option.
- Click Update to save the changes. A success message will appear.
Are Your Intranet Job Listings Found on Google?
You can check this here: Check: Does the Job Posting Appear on Google?
Here’s what you can do immediately to prevent this:
- Using the Google Search Console tool, the discoverability of a website can be prevented quickly.
- You can append a cryptic number sequence to the URL of your application portal used for the intranet (e.g., URL..../intranet57xd2a7). This way, the link that was previously findable on the web will immediately become invalid (page no longer available). The new URL must be updated accordingly in your intranet so your employees can access the internal job list.
