Explanation of term

Placeholders are empty placeholder objects that are dynamically filled with the value of a reference object. Reference objects can be, for example, names, dates, or similar values stored in different sources.

System behavior

  • Usage
    Placeholders are used in format templates, correspondence templates, job posting templates, as well as in the headline and footer fields of the application portal.
  • Functionality
    Texts in these templates are generally written to be applicable to any recipient. The placeholders in the text are dynamically replaced with values relevant to the recipient upon sending. The recipient does not see that the message was not explicitly written for them.
  • Errors
    If placeholders are not populated, it is usually because no data has been entered in the corresponding field.
  • Automated Status Changes
    If automated status changes are configured, you can insert a correspondence template via the Automated Email Sending section, which will be automatically sent as an email to the applicant.
    Important: If you want to mention a contact person, you must use placeholders from the Responsible User of the Posting section (e.g., salutation and last name).
    Since the correspondence is sent by the system, placeholders with the Logged-in User do not function and will remain empty in the email.
  • Additional Placeholders – Applicant Management
    If additional placeholders are needed, you can create form fields for personnel requests and job postings.
  • Additional Placeholders – Onboarding
    Form fields from master data and additional information about onboardees can be used as placeholders in portal articles and tasks (in task descriptions). However, we recommend avoiding sensitive data in task form fields, as the contents may be sent to external recipients and become visible without permissions. If you still need to include sensitive data, consult your data protection officer beforehand.
