Explanation of terms

Placeholders are empty proxy objects that are filled with the value of a reference object depending on the context. Reference objects can be, for example, personal names, time specifications or similar values that are contained in different sources.

Behavior in the system

  • Location of usage
    Placeholders are used in template layouts and correspondence templates, as well as in job advertisement templates and the header and footer fields of the application portal.
  • How it works
    The texts in these templates are usually formulated in such a general way that they can be used for any possible recipient. The placeholders contained in the text are dynamically filled with the relevant values for the recipient when the message is sent. It is not apparent to the recipient that the message was not written explicitly for them.
  • Automated status change

    If automated status changes have been created, you can insert a correspondence template, which will automatically be sent to the applicant as an e-mail.

    Important:
    If you want to mention a contact person, placeholders from the Responsible User of Job Opening (e.g. title and surname) must be inserted.

    The correspondence is sent by the system. Accordingly placeholders with the Logged in User have no function and would remain empty when the e-mail is sent.

  • Errors
    If the placeholders are not pulled, it is often because no data has been entered at the corresponding position.

    • You can use form fields of master data and additional information regarding onboardees as placeholders in portal articles and tasks (in task description). In case of tasks, we recommend to avoid mentioning any sensitive data in the form field, as the content may also be sent to external users (outside the system) and visible without a viewing permission for the field. Should you still want to enter sensitive data, it is best to consult you data protection officer beforehand
