d.vinci applicant management is now available in the following languages:

Employee Portal Configurations - Controls Color Better
The controls color that you set in the employee portal configurations now also colors the number of days until the first working day in the employee portal.

Manage Users Authorized to Issue Instructions directly in the System New
We always require at least one contact person who is authorized to issue instructions to us and can, for example, request changes to your d.vinci software products. From this release onwards, you can easily manage these directly in d.vinci.
On the page Basic Settings, you will find the new tab Contract. Here you will find the Users Authorized to Issue Instructions function, where you can enter the users who should be authorized to issue instructions to us.

Two-Factor Authentication New
We have responded to your requests and, starting with this release, are offering two-factor authentication for all users who log in with a username/password. In this security process, users must use two different methods to verify their identity before they can access the system, adding an extra layer of security beyond the traditional password.
How we deliver this feature
Two-factor authentication is not activated by default. You can enable it in the Basic Settings under the tab Security.

New Permission - Create Onboardings New
Many of our customers have employees who only create onboardings but are not involved in the rest of the onboarding process. For these users, we have created a separate permission: Onboardings | create.
How we deliver this feature + Notes on the function
- The permission is available in the system. You can assign it to new or existing roles.
- If users do not also have the permission to view onboardings in their role, they will not be able to see the previously created onboarding. The new permission only allows the creation of onboardings.
What needs to be done
To allow employees to only create onboardings: You need a role to which you assign only this one permission. Then, open the employee's user profile, remove all old onboarding roles, and assign only the new role.

Employee Portal - Contact Better
We have improved the display of phone numbers in the contact section of the employee portal.
If no telephone number is stored for users who are listed as contact person in the onboarding, the users' mobile number will now automatically be displayed on the contact page in the employee portal.

- System Time: We have removed the system time from the user menu, as it was not needed there.

Forms - Display of organizational unit Better
On the page Forms - where you can see an overview of all created forms - we have added an additional column for the organizational unit. This allows you to see at a glance which organizational unit the form was created in.

Organizational Unit in Forms New
When creating new forms, you can now also select an organizational unit.
If you create a portal task, only the forms that are on the same level as the portal task or above it will be displayed to you in the future.
Important
- Changes to your existing forms
With this release, we are adding your top organizational unit to all existing forms so that the forms/portal tasks that have been linked so far can continue to be used in their current form.
If you want to create forms on a subordinate organizational unit, we ask you to create these forms and form fields as new.
If you delete old forms that have already been used in an onboarding process, they will remain available for the onboarding process. - Special case for portal articles
When creating a portal article, only the form fields assigned to the global organizational unit are initially displayed as placeholders. When editing the portal article, the form fields from the lower organizational units will also be displayed if available.
We recommend saving intermittently during creation and finalizing through subsequent editing.
User - Email Texts Better
We have improved the texts in emails to users so that they no longer automatically refer only to the HR department.
Example texts (excerpt):
- This email was generated automatically. If you have any questions, please contact the administrator of the d.vinci software in your company or your HR department.
- Your password cannot be reset at the moment. Please contact the d.vinci administrator in your company to gain access.
We have made the following corrections Fixed
- Employee Portal: On the first access to the employee portal, the correct logo and app name are now always displayed when using Safari/iOS.
- Portal Tasks: The preview of portal tasks now works flawlessly for all task purposes.

Forms, task templates - Creation process Better
When creating new elements in the area of forms and task templates, there is now also the "Create and Create Another" button in addition to the Create button. This enables an improved workflow when creating several elements in succession, e.g. answers to a form field of the typ "Value List". By clicking the buttons, the created element is saved and the mask for creating another elements opens immediately.

Activity log - Logging of automatisms Better
The Activity log records when automatisms have made changes to the system.
You can search for these automatisms by using the filter Action: Other Action or Element: Automatism.
The following automatisms can be found in the acitvity log:
- Routine for deletion of onboardings (OnboardingAutoDeleteJob)
- Number of deleted applications
- Logging of the deletion
- Routine for the finish of onboardings (OnboardingAutoFinishJob)
- Number of finished onboardings
- Logging of the deletion
Activity log - Storage duration of the Entries Better
Currently, the entries of all elements are removed from the activity log after 90 days.
We have extended the storage period for entries without personal data.

Employee portal - iOS access Better
We now also support older Safari browsers down to version 13.4 to prevent display errors. This corresponds to iPhones from 2015 and later.

Preview of the employee portal for an onboardee New
In onboarding, authorized users can press the button Preview and display a preview of the employee portal as the specific onboardee sees it. No changes can be made in the preview. In addition, no files can be uploaded or documents that have already been uploaded can be viewed. The preview is only for an overview.

Virus scan on file upload from onboardees New
We have increased the security of file uploads. Previously, the PDF conversion of documents protected you from malicious code. Now a virus check takes place directly when uploading files. If Oboardees upload suspicious documents, these are rejected and a message is sent to the Oboardees.
Onboardings - Automated Deletion Better
For all onboardings that have already ended, we set the publication date of this release as the end date.
If you have activated automatic deletion, the terminated onboardings will be deleted the set number of days after July 11 .2024.
Onboarding - new notice texts Better
- Birthday (tab Data)
Under the field you will now find the following note
If the onboardee has access to the employee portal, birthday greetings are automatically sent to them via the employee portal. - Date (tab Employee Portal)
You will now find the following note under the field
The card for the first working day will not be displayed in the employee portal until the milestone "Employment contract" has been reached.
We have made the following corrections: Fixed
- Form fields: Form fields with multiple selection in combination with the IBAN entry work without errors.

Automatic finish of onboardings New
Until now, onboardings could only be ended manually. In the Basic settings, in the tab Data protection, you can now also set an automated termination.
If you activate the function Automatic Finish, enter a number of calendar days (0-180) and add a reason for termination, the finish will take place this number of days after the end of the onboarding process has been reached.
Paused onboardings are not automatically finished. Onboardees' access to the employee portal is revoked upon the finish.
Automatic deletion of onboardings New
From now on, you can have onboardings deleted automatically. To do this, go to the Basic settings under the tab Data Protection and activate the function Automatic Deletion. You can specify how many calendar days (14-730) after the end of the onboarding the data should be deleted.
The onboardings are completely and irrevocably deleted from your system. Only the statistical data will be retained so that you can continue to evaluate the onboardings.
Important
This function currently only applies to onboardings that are finished after this release. In release 2024.14 (on 07/11/2024), we will set the release date as the finish date for all onboardings that have already been finished. Accordingly, the onboardings will be deleted the days set by you after 07/11/2024.
Virus scanning of documents New
In the following areas we have introduced a virus check of the documents during upload.

Employee Portal - Long Form Field Titles Better
Long form field titles now have a line break so that everything is always readable.

Easier recognizition of new articles New
Onboardees can now easily see which articles have been added since their last visit to the employee portal.
A separator is displayed in front of the articles that were already published at the last login. In German the text varies depending on whether the onboardee's form of address was set to formal or informal in the portal configuration.
In Englisch it says: You are up to date - You have read all new posts since your last login.
Portal articles and portal tasks - Preview Better
The preview view for portal articles and portal tasks is now easier to recognize thanks to a clear caption.
In the preview for the employee portal configurations, a hint text describes which elements are displayed there.
Paused onboarding - reminder of portal tasks Better
If onboarding is paused, the reminders for portal tasks are also paused until onboarding resumes.
Employee portal - Minor design adjustments Better
We have improved the design of the employee portal. For example:
- The menu icon for the Tasks now also shows the progress of task processing.
- The selected menu item is highlighted with the transparent color of the control element color.

Portal Tasks - Preview New
We are introducing a Preview button in the portal task area, similar to the portal articles. Your preview opens on a new tab, which previews the portal task in full screen when it is open.
Behavior of the preview:
- The buttons in a task are displayed according to the selected task purpose. There are no buttons for tasks with the purpose "Inform Onboardee".
- If there is a form included in a portal task, this is also displayed in the preview and answers to questions can be selected. However, neither the form nor the answers can be sent.
- Our default blue color is used as the primary color.
- The publication date shows the current date by default, only in tasks with the purpose "Inform Onboardee". There is no publication date shown in tasks with other purposes.
- Attachments are displayed in the preview, but cannot be downloaded.
- The preview is displayed in the language of the user who opens it.
Employee Portal - App Installation New
Previously, onboardees who wanted to install the employee portal as an app on devices with Windows and Android were supported by an installation banner. By pressing the button in the banner, they can start the installation immediately. With this release, we are offering similar support for onboardees who want to install the employee portal as an app on their devices with iOS and MacOS (iPhones, MacBooks, iMacs).

Task Packages - Placeholders Better
Up until now, considerably long placeholders for forms could not be displayed in full. New placeholders are now a maximum of 64 characters long. In addition, we have improved the display so that clean breaks are inserted and texts no longer protrude beyond their areas. This improvement also affects form fields in the area of forms.
Employee Portal - Profile Image Better
Up until now, we used a silhouette as the default profile image of an onboardee in their portal. However, we realized that this could give the impression that the image is interchangeable and also seemed impersonal, which does not go hand in hand with our concept of the employee portal. We therefore switched to initials of the onboardee. The background color is based on the controls color set in the portal configuration. We are considering introducing the option for onboardees to change their profile image or freely select one from an image library.
Employee Portal - Documents Fixed
After the onboardee had uploaded their first document to the portal, "Invalid Date" was displayed instead of the actual date. The correct date only appeared after the page was refreshed or after a second document was uploaded. This behavior is now fixed.
Employee Portal - App Icon and App Name Fixed
When installing the employee portal as an app for the first time, the default icon and the name of d.vinci were sometimes used instead of the app icon you upladed and the app name you entered. Your values were only loaded after refreshing the page and clicking the Install button. We have fixed this behavior.
Forms - Navigation Fixed
By clicking the back button in the navigation bar while in the area of forms, it could occasionally happen that an error message was displayed instead of the previous page. Now, after clicking the back button, you will be taken back to the previously opened page.

The New Employee Portal ANNOUNCEMENT
It is with pride and great delight that we announce today that the new employee portal is available to you! You can also read the following help article to assist you with any questions you may have: Employee Portal.
Please take a look at our checklist to make sure that everything runs smoothly in your employee portal.
Employee Portal - Birthday Wish New
If an onboardees date of birth is saved in their onboarding, a birthday wish will be displayed immediately after they log in to their onboardee portal. This happens once within 10 calendar days of their birthday. As soon as the onboardee has closed their birthday wish, it will not be displayed again.
Portal Tasks - Task Purpose New
We have added "Request document" to the purposes of a portal task. Using a portal task with this purpose, onboardees can now upload requested documents directly in their portal task and also add a comment. The onboardee then simply has to click the "Finish" button, whereupon a confirmation message is briefly displayed. All documents submitted via portal tasks can now be viewed by the onboardee in the "Documents" section of their employee portal.
User - Deletion Better
When attempting to delete a user from d.vinci, you will be notified of any existing dependencies of the user in onboarding, which must first be resolved. In the past, this was ofted tedious, especially for users with many responsibilities. From now on, you can transfer the existing responsibilities of a user to be deleted to another user directly in the modal window, provided that the user has the necessary permissions and is also allowed to take over the responsibilities according to their organizational unit.

The new Employee Portal REMINDER
We would like to remind you that you will be able to use the new employee portal from May 14, 2024. Before all systems are switched to the new employee portal on this date, you will need to make some minor adjustments. Take a look at our checklist.
Portal Article - Preview New
In our new employee portal, you can generate a preview for each individual portal article. Click the preview button to display a full-screen view of your portal article. The placeholders are displayed as plain text in the preview, e.g. {NEW_EMPLOYEE:FIRST_NAME}. The language used in the preview is always the language of the user who is generating the preview. Feel free to make your browser window smaller to get an idea of the mobile view.
Messages - Filter Better
From now on, the "My Onboardings" filter is set by default in Messages so that you will primarily (and faster) see the content for which you are responsible.

REST API - ID of the application Better
If you get information about onboarding via the REST API, you can now also access the application ID via the API and thus link the onboarding data record with the data record from applicant management. We have adapted our documentation accordingly.

Display on small screens corrected Fixed
On smaller screens, the menu icon was occasionally not displayed, which made navigation more difficult. We have corrected this by optimising the display of the headings. Headings are automatically shortened if there is not enough space and marked with "..." at the end. The menu icon should now remain visible on small screens.
Correspondences Template - Placeholder Fixed
If the onboardees were sent a correspondence template with the placeholder Employee Portal - Login Link, this had not generated a link. The links in correspondences that were initially sent for registration were not affected.

Onboarding - Responsibilities Fixed
If a user was removed from the responsibilities in the onboarding and this was saved, the user reappeared as a responsibility afterwards. We have fixed this.
Onboarding - Tab: Additional information Fixed
If errors were made in onboarding in the form of the Additional Information, the previously selected information was lost in certain constellations. We have corrected this.
