Definition

The job opening forms the structural framework for the job advert. It contains the key data of a job advert, which does not necessarily have to be visible to the applicant. The job opening is therefore an internal system information container that contains all the details of the advertised position (e.g. location, department, contract term), as well as information on internal responsibilities (user groups, responsible user) and applications received.


Together with the layout, the job advert template and the publication forms a job opening into a job advertisement.

On the Job openings page, a new job opening can be created via +Job opening .

Behaviour in the system

  • Purpose
    The job opening forms the structural framework for the job advertisement. It contains the key data of a job advertisement, which does not necessarily have to be visible to the applicant. 
  • Hiring request as the basis
    A job opening can result from a hiring request. If a hiring request is made for a job opening, some of the data will be included in the job opening. See: Create a new job opening from a hiring request
  • Overview of job openings
    If you call up the menu item Job Openings, a pre-filtering takes place (Status: Active, Inactive). You will initially only see job openings that are active and inactive. To also see archived job openings, click on the X next to the filter Status: Active, Inactive.
    If the filter With User Group Permissions is active for you, you will only see the job openings to which you are authorised with your user group. The page is then also called My job openings to make this clear.
  • Search for job openings
    You can filter by many of the contents of the job openings.
  • Status of job openings
    In the job openings overview, you can see the status of the job opening with symbols and colours before the title.
  • Creation date
    In the job openings you can see the creation date under the title of the job opening. This is the date on which this job opening was created.
  • Important basic data
    In the second column of the job opening overview, you can see the  organisational unit, the  location and the  responsible user.
  • Status of the publication
    In the job opening overview, you can see the publication channels of your job opening in the third column and the job publication status with an icon and a colour in front of it.
  • Activate/deactivate job openings
    In the job openings overview, there are icons that can be used to change the status of the job opening.  Activate and  Deactivate.
  • Archive
    In the job openings you will find the button  Archive. A job opening can only be archived once all applications have been finalised. Find out more here: Why can't a job opening be archived?
  • Comment
    As long as users can see a job opening, they can also comment on it. To do this, they can click on the  Comment button. For more information see: Comments
  • Reminder
    If you want to take care of something later in the job openings, you can create a reminder. To do this, click on the  Reminder button in the job opening. More here: Reminder
  • Copy
    Job openings can be copied. See: Copy job openings
  • Match Applications
    You can check whether you have applications in the system that match the job opening. See: Match applications
  • Relocate
    If a job opening needs to be assigned to a different organisational unit, you can move the job opening. See Relocate job opening / Change organizational unit of job opening
  • Create job publications
    In the job opening, a new job publication can be created using the + after Publications. See Create job publication
  • Create application
    A new application can be created in the job openings using the + after Applications. See Create application
  • Display the contents of the job openings elsewhere
    In the job advertisement templates and correspondence templates you can use various placeholders with content from the job opening. (Job opening - ...). This allows the contents of the job opening to be made visible to the applicant if required.
  • Notes on configuration

    The field scheme configuration can be used to show/hide some of the data fields or define them as mandatory fields(*).

    A job opening can only be archived once all applications are in a final status.

  • Deletion
    The   icon can be found in the job openings overview. In addition, the option  Löschen can also be called up via the cogwheel symbol in a job opening. Job openings can be deleted manually one by one. However, we recommend changing the status of the job opening to archived so as not to spoil the reporting. The job opening will disappear from the view as the job opening is set to inactive with the filter active, inactive by default.

How our customers use this

Which tabs are used for job openings varies greatly. However, there is almost always a speculative tender that is used.
We recommend archiving job openings after a process has been completed in order to maintain an overview of currently running processes.
