v2024.22 (10/29/2024)

Change of the concept of Users Authorized to Issue Instructions   ANNOUNCEMENT

Until now, you filled out a form to report users authorized to issue instructions. Since the 2024.20 release, you can manage them directly through the system.

Important

As of January 1, 2025, only the users authorized to issue instructions stored in the d.vinci system will be valid. Please enter your aauthorized users into d.vinci by then.

For the guide: Users authorized to issue instructions - create or delete

New field wage/salary range in the hiring request template  New

The new wage/salary range field, which we have already added to the job opening and hiring request, can now also be filled in the hiring request template. From there, the data is transferred to the hiring request if you use the hiring request templates.

The old free-text field wage/salary range will be replaced by the new function as soon as you create or edit a new hiring request template.

Converting old job lists to new ones  New

On the page job lists, in the tab usage statistics, we have added the new + button at the end of the line for outdated job lists. The mouseover text reads: “Create job list based on this configuration.” If you press this button, the settings of the old job list will be transferred to a new job list as closely as possible. You can then customize the new job list until it meets your requirements.

See: Replace outdated job list

Please Note

Please note that old job lists were often highly customized to meet your specific needs. The new job list is a system-wide standard that applies to all customers. Individual customization, exclusively for your job list, is no longer possible. Please switch to the new job list as soon as possible to benefit from the latest features and ensure your system remains up-to-date and secure.

Wage/Salary range in the job list hit list  New

The wage/salary range can now also be displayed in the job list of hits. If icons are activated for the job list and wage/salary data is stored in the job opening, the salary range is displayed in the hit list. For example:  25,000 to 30,000 EUR gross per year.

To activate the function, set advanced mode and select the Hit list option. There you will find the new Salary range option.

Read more about this in the main article: wage/salary range

v2024.21 (10/17/2024)

Change of the concept of Users Authorized to Issue Instructions   ANNOUNCEMENT

Until now, you filled out a form to report users authorized to issue instructions. Since the 2024.20 release, you can manage them directly through the system.

Important

As of January 1, 2025, only the users authorized to issue instructions stored in the d.vinci system will be valid. Please enter your aauthorized users into d.vinci by then.

For the guide: Users authorized to issue instructions - create or delete

New Field for Wage/Salary Range in the Hiring Request    NEW

In the hiring request, you will find the new field salary/wage range. Here, you can provide salary information for the position. When you finalize the hiring request and create a new job opening, the wage/salary range data will be transferred to the job opening. From there, it can be made visible to external viewers via placeholders in job advertisements or correspondence.

The old free-text field wage/salary range will be replaced by the new feature as soon as you create or edit new hiring requests.

This is how we deliver the feature

The new field uses the existing field schema configuration of the old salary/wage range field. If this field was previously hidden, the new field will also not be displayed by default unless you adjust the field schema configuration.

For external users, it will only become visible once it has been transferred to the job posting and you add the placeholder for it in the job ad template or the correspondence template.

Background information and more details

We aim to anticipate the upcoming Pay Transparency Act and allow you to communicate the salary range for a position transparently to your applicants from now on.

Learn more about the reasons why we created this option, the benefits of using it, and how to use it in the main article: Wage/Salary Range.

New Languages - Croatian and Serbian    NEW

d.vinci applicant management is now available in the following languages:

  • Croatian (hr)
  • Serbian (sr)

Do you have employees who will benefit from using the system in these languages? Simply book them with our Customer Service.

Application Portal - Additional Information on the Homepage Tab     Improved

In the application portal, on the tab start page, we have added the new field additional information below the job list. Here you can use the editor to add more text and elements. You can use this, for example, to inform applicants about how to send a unsolicited application to you.

Two-factor authentication - Login page    Improved

We have improved the wording on the login page . If two-factor authentication has been enabled for the system, it is now clearly understandable that users should log in with their username and password as long as they have not yet set up two-factor authentication.

We have made the following corrections    Corrected

  • Languages: We have corrected the date format for Swedish and Slovak.
  • Reports: The filter options in Excel raw data reports now correspond to the visibility permissions on the system elements as expected.

v2024.20 (10/01/2024)

Reminder of the new function “Application Portal Visible to Search Engines"     Reminder

We would like to draw your attention once again to the new function application portal visible to search engines in the application portals. This allows you to determine individually for each application portal with just a few clicks whether the publications of the application portal should be visible to search engines or not. This way, you can, for example, protect internal application portals.

For more information, please also refer to our release v2024.16 or the main article on application portals.

Manage Users Authorized to Issue Instructions directly in the System   New

We always require at least one contact person who is authorized to issue instructions to us and can, for example, request changes to your d.vinci software products. From this release onwards, you can easily manage these directly in d.vinci.

On the page Basic Settings, you will find the new tab Contract. Here you will find the Users Authorized to Issue Instructions function, where you can enter the users who should be authorized to issue instructions to us.

More about the function, its system impact, and background information here: Users Authorized to Issue Instructions

For the admin guide: Users Authorized to Issue Instructions - Create or delete

Two-Factor Authentication    New

We have responded to your requests and, starting with this release, are offering two-factor authentication for all users who log in with a username/password. In this security process, users must use two different methods to verify their identity before they can access the system, adding an extra layer of security beyond the traditional password.

How we deliver this feature

Two-factor authentication is not activated by default. You can enable it in the Basic Settings under the tab Security.

More about the function, its system impact, and background information here: Two-Factor Authentication

For the guide: Two-Factor Authentication - Activate or deactivate as admin

For the user guide: Two-Factor Authentication - Activate as a User

v2024.19 (09/19/2024)

New field Wage/Salary Range in the job opening    New

In the job opening you will find the new field Wage/Salary Range. Here you can enter salary details and use placeholders to store them in the job advertisement template and in correspondence templates and communicate them to your applicants. Either very transparently directly in the job advertisement or afterwards through communication by e-mail.

How we deliver the field

We have configured the new field so that it can be optionally filled in for all new job openings or when editing existing job openings. You can also define it as a mandatory field or hide it in the field schema configuration of the job opening

However, it will only be visible to external parties if you insert the placeholder for it in the job advertisement template or the correspondence template.

Background and more information

We would like to anticipate the upcoming Pay Transparency Act and enable you to communicate the salary range for a position transparently to your applicants with immediate effect.

Find out more about the reasons why we have created this option, the benefits of using it and how to use it in the main article: Wage/Salary Range.

Application Portal - Job List Language    Better

We have improved the language display of the job list.

It now works as follows:

  • You do select a displayed language during the creation or editing of the job list
The job list will be displayed in the language selected as the displayed language.
  • You do not select a displayed language during the creation or editing of the job list
    • The language in which the job list is displayed will be determined by the language of the application portal.
      Attention
If you renamed the filter label in the job list, these will not be translated.
For example, if you renamed the filter "Company" to "Firm," the label "Firm" will remain even if a different language is selected.
    • If you press the </> embed in website button, you can select a displayed language.
The job list will only be displayed in that language on the website where the code is embedded.
This allows you to display the same job list in multiple languages by adding a language parameter to the code before embedding it.

We have made the following corrections    Fixed

  • Short Description: The language of the short description is now determined by the language of the job publication.
  • Benefit Icons: You can now select benefit icons that contain a number in their name.
  • System Time: We have removed the system time from the user menu, as it was not needed there.

v2024.18 (09/04/2024)

Application Portal - Start Page     Better

We have made the button labeling on the tab Start Page more understandable. You can now use the toggle button Enable Start Page/Disable Start Page. Additionally, we offer a help text through the info-i icon, which explains the status of the Start Page and links to the help portal for more information.

Application Portal - Job List    Better

We have updated the texts in the tab Start Page of the Application Portal. It should now be clearer where outdated job list code may be stored.

Job List - Usage Statistics     Better

If no entries in the job list can be selected, the Select All button is now grayed out.

We have made the following corrections    Fixed

  • Job List: We have added missing translations into Czech.

v2024.17(08/22/2024)

Generate Short Description Using AI     New

An important part of optimizing your job postings for search engines is the short description. In the job publication, you will now find the Search Engine Optimization section at the end of the input form.

When you click on the robot icon , the short description will be generated based on the following details you previously provided:

  • Position
  • Subtitle
  • Locations
  • Target groups
  • Working hours
  • Contract duration
  • Company

Important

  • Please make sure that no personal data is entered in the fields before generating, as these will be considered by the artificial intelligence.
  • If you do not see the field, it may have been hidden in the field schema configuration. Read here how you can activate it: Use the publication's field schema configuration

More information on search engine optimization can be found in the corresponding help article.

User - Email Texts    Better

We have improved the texts in the emails to users so that they no longer automatically refer only to the HR department.

Example texts (excerpt):

  • This is an automated email. If you have any questions, please contact the administrator of the d.vinci software at your company or your HR department.
  • Your password cannot be reset at the moment. Please contact the d.vinci administrator in your company to gain access.

Applicant Form - Photo    Better

Under the upload field, applicants are now also informed about the acceptable formats for uploading and the maximum file size allowed.

Job Lists - Usage Statistics    Better

We have made some improvements.

  • We have adjusted the order of the tabs. When you open the menu item Job Lists, the corresponding tab is displayed, followed by the tab Usage Statistics.
  • We removed the delete icon for new job lists from the overview, as it deletes the entire job list and not just the entry.
  • We have made the corresponding message easier to understand when deleting.

Application Portal - Job List    Better

We have adjusted the note about where the code for old job lists is stored in the application portal. It no longer looks so technical.

We have made the following corrections    Fixed

  • Job List: If you already had a job list code stored in the application portal and select another job list for the same application portal through the selection menu, the old manually inserted list will be commented out and thus deactivated, so that the new one is fully functional.
  • Job Ad Templates: The dependencies in the Organization Unit field are now displayed correctly again.

v2024.16 (08/08/2024)

Bulk deletion of media and questionnaires    New

On the Media and Questionnaires pages, you will now find a checkbox to each element in the list and can delete your selected media and questionnaires in bulk.

In the gear menu, you will also find the option "Select all" or "Select none".

If questionnaires intended for deletion have dependencies, you will be informed on a well-structured page of the deletion action about the areas of your d.vinci in which the questionnaire to be deleted is used, so that you can act accordingly and avoid errors. The displayed page can be updated at any time. Thanks to this, you do not have to go back and repeat the last steps after removing a dependency from a questionnaire, which saves you time and effort.

Application portal - Start page    Better

If this mode is activated for the job advertisements in an application portal on the Start Page tab via the "Iframe Mode" button, the configuration options for the Start Page are automatically hidden. By deactivating the Iframe mode, the configuration options of the Start Page are displayed again.

Application portal - Settings for search engines    Better

On the Data tab of an application portal, we have moved functions related to search engines to a new area and added a new configuration option.

In the Search Engines area, you can now determine whether the application portal should be made visible to search engines or not. The Google for Jobs functions can then also be activated for an application portal that is to be visible to search engines.

Please note:

  • If the application portal is configured as not visible to search engines (including Google), d.vinci will automatically deactivate Google for Jobs for the portal.
  • If the application portal is secured via SSO on the Security tab or if an IP access rule is configured, the visibility for search engines is automatically set to "No" and you are automatically informed of this fact in the Search Engines area of the Data tab.

Calendar integration plus - Rescheduling appointment booking    Better

If an appointment selected by applicant needs to be rescheduled, you can now send the applicant a new link to the booking page. To do this, seleect the "Applicant selects appointment" option again when rescheduling the appointment. The new appointment booked by the applicant can then be tracked in your d.vinci on the Activities tab in the application and a new entry with the email to the applicant is added to the history.

Calendar integration plus - Service Account    Better

Our subcontractor Cronofy now uses Microsoft's Graph API instead of Exchange Web Services (EWS) as the default method for connecting to Office 365 calendars. To ensure a smooth calendar integration and support, we ask you to switch your service account connection from EWS to Graph.

For this purpose, we have introduced a new menu item in the configuration of the calendar integration - Service Account Connection - which is displayed if the switch is required for a user. To do this, the symbol must be clicked. After you have clicked the Switch button in the new modal window, you will be redirected to the Cronofy Enterprise Connect interface to log in again and accept the authorization changes. The switch itself takes place in a few seconds in the background and as soon as it is complete, the additional menu item in the configuration of the calendar integration in d.vinci is hidden again. Finally, you will be informed about the successful switch in the top area of the Basic Settings page.

After the switch, please contact the IT administration in your company and forward them this link to the Cronofy documentation so that the Exchange Service account that is no longer required is deleted from your Exchange server.

Virus check - Automatic notification    Better

From now on, you will be automatically notified by email from d.vinci if attachments received via email are malicious or if prohibited keywords are detected in the content.

Please note:

  • In the body of the email, you will be able to see who the sender of the rejected file is so that you can contact them.
  • We will not provide you with files from the quarantine. We can also only provide the titles of the files.
  • In the case of a bulk file delivery in which only one file is infected with a virus, appears to be malicious or contains prohibited keywords, all files will be rejected as a safety precaution.

We have made the following corrections:    Fixed

  • Application Apply API: In our Application Apply API, through which applications can be submitted, we discovered a validation error in the "Degree" field (which corresponds to the "Education Degree" in Master Data), where any entry in the education degree field was accepted and the application was carried over to the system, but the value of the education degree was not displayed. We have fixed this error. If the entered education degree does not exist in your d.vinci, the application will be rejected by the system.
  • REST API: In our REST API, in some cases the special characteristic "MA: multiple applicant" was only set for a person applying repeatedly from the third application onwards. We have fixed this error. Now the system already displays the special characteristic of a multiple applicant with the second application.

v2024.15 (07/25/2024)

Overview of old Job Lists    New

In the menu item Job Lists you will find the new tab Usage Statistics. It shows you which job lists you are using on which websites.

Important

If a job list has the state "outdated", it must be replaced by a new job list. However, you will only be notified of this in the usage statistics if the URL has been accessed at least once since the release. You can therefore also use the new feature "Note on outdated job list in the application portal" (see below). You will now also be notified of old code in the application portals.

Read more about this here: Job List - Replace outdated

For more information on the elements of the tab Usage Statistics, see the main article: Job Lists

Note on outdated job list in the application portal     New

If you use old JavaScript widget code/job list code in an application portal, we will point this out to you when you call up the application portal.

On the tab Start Page, you will find the option to create a new job list in the area Job List.

By the way: The information where the old job list code is located is only important for us. You don't have to do anything with it.

Read more about this here: Replace old job list

Security via Oauth2     New

You can now also secure our oData interface and the rest of the interface via Oauth2.

To do this, you can activate Oauth2 in the API user  and then enter the number of minutes that the generated token is valid in the Access Token TTL (Minutes) field.

The number of minutes is currently unlimited. Feel free to give us feedback on this.

Activity log - Storage duration of the Entries    Better

Currently, the entries of all elements are removed from the activity log after 90 days.

We have extended the storage period for entries without personal data.

Examples of entries deleted after 365 days: Applicant form, job advertisement template, organizational unit

Examples for entry deletion after 730 days: Basic setting, languages

You can find a detailed list in the main article: activity log

User photo - Tiff format removed   Better

Since the Tiff format is only supported by the Safari browser, we have removed the option to upload user photos in this format. This should prevent display problems in your job advertisements.

Tiff images that have already been uploaded will be retained, but may lead to display errors.

We have made the following corrections:     Fixed

  • Multiple applicants: All corresponding applications are now displayed for users with the permission to view them in the full-text search for multiple applicants.

v2024.14 (07/11/2024)

Securing application portals against external access     New

Application portals such as the intranet should not be accessible from outside so that your company internals are protected. We have added the new function SSO for Application Portals enabled in the tab Security of the application portal settings. To be able to use this, SSO must be configured in the basic settings.

If you use the function, access to the URL of the application portal is only granted if users are logged in to d.vinci or if they log in with their data for single sign-on  when they have accessed the URL of the application portal.

In the list of application portals, the symbol with the shield and keyhole  will show you at a glance which application portal the function is active for. We have also replaced the previous icon in the list of users with the new shield icon.

More information about the new function in the main article: Application portal

Job advertisement - border of the interaction elements    Better

When navigating through the job advertisement via tab in the context of accessibility, the forward and backward controls in the image carousel are now also displayed with a visible focus indicator (according to WCAG 2.2 Level AA requirement) if these are selected.

Activity Log - Logging of automatisms    Better

The activity log records when automatisms have made changes to the system.

You can search for these automations by using the filter  Action: Other Action or Element: Automatism.

You will find an entry there about the following automatisms:

  • Delete application routine (ApplicationDeleteOrReduceJob)

    • Number of deleted applications

    • Number of reduced applications

  • Delayed sending of emails to applicants (SendScheduledMailsJob)

    • Logging of the email dispatch

    • Number of emails sent

  • Deletion routine for mailboxes (CandidateCommunicationDeletionJob)

    • Logging of the deletion

    • Number of deleted messages

We have made the following corrections:    Fixed

  • Questionnaires: If you send the data protection declaration subsequently via a questionnaire, the link can now be called up without errors.

  • Calendar Integration Plus: Double-displayed rooms no longer occur.

  • Conflict resolution: Only those conflict resolution tasks are displayed that are authorized to resolve the conflict.

  • Date shift: If you enter the placeholder for an old date in a correspondence, this can be displayed without errors.

v2024.13 (06/27/2024)

New option for Consent to Privacy Policy    New

In the questionnaire of the type application form we offer you a new option in the tab form. You can select that consent is not required. Applicants no longer have to explicitly agree to the declaration in order to be able to send the application form. The text that applicants see can be edited by you in the Consent to privacy policy section.
In the application, the status for Consent to Privacy Policy is not listed when using the new function.

We are working to ensure that you can see in the application how the consent to privacy policy option was configured when the application was sent.

New tab Security in the Application Portals    New

We have moved some functions in the application portals to the new tab Security. This makes it easier for you to recognize security-relevant functions. In the coming weeks, we will also be introducing another security function that many customers have requested. The items IP policy and  Enable Embedding of Job Ads as Iframes can now be found in this tab.

We have made the following corrections:    Corrected

  • Send emails: The mass sending of emails continues, even if errors occur in certain emails.
  • Mailboxes: Even particularly full mailboxes can be updated by the routine without errors.
  • Appointment scheduling: If the time is deleted when making an appointment, you will see a message indicating the missing time before the appointment can be sent.
  • Rest-API: When changing users via RestAPI, no additional changes need to be made for the daily notification.

v2024.12 (06/13/2024)

Copy job publication channels and application portals    New

You can now copy job publication channels and application portals. Either by using the copy symbol  in the list view or when you have opened an element via the button  Copy. The content is copied one-to-one.

When copying, the name is supplemented with (copy). The URL of the application portal receives the addition  _copy as well as a randomly generated four-digit number.

Example

Original: https://customersystem.com/homepage/

Copy: https://customersystem.com/homepage/_copy9394

Example view - copy via the button in an opened element

Example view - copy via the list view

Border color for results list changeable    New

In the job lists you can now also customize the border color in advanced mode in the results list.

Job Lists - Job List Layout    Better

If you select a job list layout with image at a job list, the image of the job advertisement is now automatically displayed in the preview. It is no longer necessary to remove fields=small in the query parameters to achieve the display.

We have made the following corrections:     Fixed

  • User login
Locked users who use the forgot password feature will now receive an email informing them to contact their administrators regarding their user access.
  • Calendar Integration Plus
If a room is first selected and then the appointment survey is activated when changing status, the form can be sent as desired.
  • Calendar Integration Plus
Rooms are no longer displayed twice.

v2024.11 (05/30/2024)

OData Reporting API - Consideration of Rights According to the User's Organizational Unit    New

API users who were assigned to a global organizational unit were previously able to view data of the OData Reporting API on a global level. However, all other API users (i.e. external systems connected to d.vinci) could not view any data. With this release, we have aligned the behavior of the OData Reporting API with that of the Excel-Raw-Data-Reports.

This is new here:

  • All reporting data is restricted according to the rights of the API user's organizational unit.
  • When an organizational unit is deleted, its objects are no longer output in the OData Reporting API.
  • Statistical data that was linked to a deleted organizational unit is no longer available in OData. We now point this out to you when deleting an organizational unit.

This is what you have to do:

Your d.vinci does not allow any changes to the configuration of existing API users. If you need to make changes, you should create a new API user in the desired, non-global organizational unit and then delete the existing global API user. The newly created API user will then only be able to view reporting data for their organizational unit and all subordinate units.

Special Characteristics - View Multiple Applicants System-Wide or According to View Permission    Neu

We have improved the processing of multiple applicants and now also allow you to view the special characteristic of multiple applicants with the associated applications not only system-wide, but also in specific organizational units and their subordinate units.

While the special characteristic of multiple applicants could previously be seen system-wide (regardless of whether the user had access to the job openings in question), you can now choose whether users can see the multiple applicants organization-wide or only within their area of access.

This is what you have to do:

Users should only be able to see multiple applicants for job openings that are visible to them?
The permission Special Character "MA: Multiple Applicant" | view according to view permission must be manually added to their role and the permission Special Character "MA: Multiple Applicant" | view system-wide must be removed from it. If necessary, an existing role must be copied, the permission Special Character "MA: Multiple Applicant" | view system-wide must be removed from it, the permission Special Character "MA: Multiple Applicant" | view according to view permission must be added and the role must then be assigned to the users. See also: Role - edit, copy or delete

Tip:

Use the filter button on the page Roles and search for the abbreviation "MA" to display all roles with permissions for multiple applicants.

Why is this important

If users receive both permissions, the system will follow the unrestricted (system-wide) multiple applicant visibility. This means that all applications marked by the special characteristic are visible again and users are automatically informed about them, even if these are not in their area of responsibility.

Job Opening Analytics - Support For Poor Performance    New

Our analytics on the tab of the same name in each job opening now offers you not only evaluations, but also assessments. If it is concluded that your job opening performs below average, the system displays a banner. You can use this to book a free consultation with our Personnel Marketing Department.

Curious for more? Click here for the full range of services related to posting of job advertisements: Personnel marketing: Overview about all services

The new banner is displayed on the Analytics tab to all users who can view the Analytics and process job publications according to a permission. Once the banner has been closed by clicking the X icon, it will not be displayed again.

Application Portal - Consent Management    New

We enable you to configure the Consent Management in your career area. For this purpose, we have introduced a new input field for the script of your consent management tool in the Additional Configurations of the application portal.

Why is this important

Consent Management Tools (CMTs) are used to manage the consent of visitors to your career site regarding the use of their personal data, particularly in the context of data protection laws such as the General Data Protection Regulation (GDPR) in the European Union. These external tools allow you to make consent requests to users and manage their preferences regarding the use of cookies and other tracking technologies. This creates transparency and control over the use of personal data and ensures that you comply with the applicable data protection regulations on your career site.

Please note:

Only scripts for the integration of consent management tools are permitted in the new input field. We cannot offer support for such integration and we reserve the right to remove other content from this field without prior notice.

Applications - Dashboard    Better

We have significantly improved the loading speed of the application dashboard by loading the Average Idle Time in Days chart only after the applications. Depending on the browser window width setting, this chart is displayed either at the bottom or on the right-hand side of the Job Openings tab on the Applications page.

Reporting - Speed    Better

Thanks to an improvement in the OData Reporting API, reports relating to applications can now be called up more quickly.

Application Portal - Application Import (Secured)    Better

We have introduced a stricter policy for the assignment of passwords for the secured application import. From now on, the password must be at least 8 characters long and contain a number, a letter and a special character.

v2024.10 (05/16/2024)

System - Virus Check During File Upload    New

From now on, internally uploaded attachments are also automatically scanned for viruses. If your d.vinci identifies a file as potentially malicious during upload, the upload is interrupted and the user is advised to consult their administrator about the suspicious file.

Mailboxes - Deletion Routine    New

Up until today, mailboxes had to be cleaned up manually, which unfortunately resulted in messages accumulating in no-reply mailboxes. To help you maintain a tidy system, we have introduced a deletion routine for mailboxes. All you have to do is activate the automatic deletion feature in the mailbox properties. Then enter the number of calendar days from the receipt of an email until it is deleted - a minimum of 30 and a maximum of 180 calendar days. All emails that are older than the specified number of calendar days are automatically deleted from the system as soon as the new deletion routine is activated.

Basic Settings - API    Better

For the JWT targer URLs, we have expanded the list of supported top-level domains, for example to include the ".local" type.

Job List - Google Maps Filter   Better

In the advanced mode of the job list settings, the "Consent Necessary" dialog can be switched off when a Google Maps filter is activated. For a better workflow, the input field for a privacy policy URL is now also automatically hidden upon this switching off.

User - Login    Better

Regardless of whether the username, password or both were entered incorrectly, or whether a user is prevented from loggin in via the "Login possible until" feature, a standard error message is now displayed to the user, not indicating any reason and advising the user to check their entries and eventually contact the system administrator in their company.

System - Performance    Better

We have been working behind the scenes to clean up and optimize various processes to improve the overall performance of the Applicant Tracking System.

User - Password Reset    Fixed

In Firefox, it was not possible to request a new password if the user filled in the "Username" and "Email address" fields in the input form using a drop-down selection. We have corrected this behavior.

v2024.9 (05/02/2024)

User - Login    Better

For a user who is prevented from logging in in via the Login enabled until feature, no new password is triggered via the password reset anymore.

Job Opening - Analytics    Better

Applicant feedback for a job opening can now be better evaluated on the Analytics tab. In addition, the data is hidden according to the selected time period if the amount of data is not sufficient.

Job Publication - Tracking    Better

We have updated and improved the bot filter. In addition, job publication views via the preview are no longer counted.

Reschedule Appointment - Correspondence    Fixed

When rescheduling an appointment, no button was displayed for creating a preview of the correspondence to be sent. The preview button is now available and works the same way as for a status change with correspondence.

Application Portal - Additional Header    Fixed

We have removed the character limit of 4,000 characters in the additional header.

v2024.8 (04/18/2024)

New filters for Job Openings    New

We have added further filters for the overview of job openings:

  • Creation Date
  • Start of Search

You can search for a time period (From/To) or just fill one of the fields (From or To) with a date.

Job Lists - colour values    Better

If you have not yet set a colour value, the following icon will let you know:

This allows you to better distinguish whether white has been selected or whether no colour value has been set yet.

Users    Better

We have made adjustments in the following areas:

  • Login Method
For the login method Login possible until there is now also an icon   in the user overview.
  • API User
User names for API users must not contain any special characters. We will inform you in the future if you try to save unauthorised user names.

Users - User Photo   Fixed

If you deleted a photo that was previously stored in the users account, it was still displayed for a short period of time after deletion in individual cases.

    Fixed

  • New function: Analytics    New

From this release onwards, you can use our Analytics. This adds an additional tab to the job openings. There you can view graphics that visualize important data on the applications for the respective job openings. This information allows you to evaluate the effectiveness of your job openings, identify potential for optimization and adapt your recruitment strategy to current requirements.

In order to regulate access to this function, we have introduced a new permission. The following roles automatically receive this permission:

    • All roles that contain the system roles Human resources (standard) or Line management (standard)
    • All roles that can see job openings

  • Important, if not already done

Please check whether all users with the permission Analytics (of job openings) | view should have access to the Analytics function. Instructions: Analytics - Authorization

    Preview of the new function

User - Login enabled until    New

We have added a function for the login method username/password. When editing users, you can now enter a date in the Login enabled until field until which day it is possible to log in to the system. You can also enter dates in the past to exclude users from the system immediately. The function allows you to revoke access to the system during planned absences or withdrawals.

    Example:

Login anabled until: 03/26/2024 = From 03/27/2024, the user will see a note when trying to log in that the user name and/or password is invalid.

Videos - Privacy-Compliant Video Embedding    New

In order to be able to offer the embedding of videos from video platforms in compliance with GDPR, we have set up a new function.

In the settings of the application portals you can now specify whether videos displayed there should receive an additional layer that informs viewers that they accept the declarations of the external video portals by loading the video. To do this, simply activate the Enable privacy layer for embedded videos option in the respective application portal.

We have currently set this up for Vimeo and YouTube. If you have inserted a video via the editor in the job advertisement template or the application portal and the address for it comes from one of the two portals, this note can be displayed for the viewer.

User - Display of lists    Better

For a better overview, the login method is now displayed with icons in a separate column. If you hold the mouse over an icon, you will receive an explanation of the login method behind it.

    Job advertisement - Panorama    Better

The display of several images in the job advertisement has been made accessible. We have removed the following note from the publication accordingly, as it was no longer necessary: For optimal accessibility, select only one image.

    Job Lists - Deletion    Better

If a job list was stored in an application portal and was subsequently deleted, an error message that was not very informative appeared externally. We have improved this. It now reads: An error has occurred. Currently no vacancies can be displayed. Please try again later. Thank you for your patience.

Job Lists - Google Maps    Better

If the results view via Google Maps is used in the job list and viewers click on the number of results in the map, the display box for the job title and the details within the map is now larger and correspondingly easier to read.

Job Lists - Design - Color- and Font Design    Better

At this point, we have removed the Rounding of corners  function, as it had no functionality here. However, you can still set a rounding of the corners in the individual areas such as the input fields or the hit list .

Job Lists - General settings    Better

We have removed the option Display empty values in filter in the general settings  section, as it was hardly used. However, job lists that were previously configured with these settings retain their functionality.

    Display on small screens    Fixed

On smaller screens, the menu icon  was occasionally not displayed, which made navigation more difficult.

We have corrected this by optimizing the display of the headings. Headings are automatically shortened if there is not enough space and marked with "..." at the end. The menu icon should now also remain visible on small screens.

Job Lists - Jump to other sites    Fixed

When accessing another page from the job list and trying to get back to the job list, an error occasionally occurred. We had not been able to solve this with the previous release as we had hoped.

    Conflict resolution - Performance    Fixed

Due to the changed conflict resolution, there were occasional performance problems in the tasks area. We have already solved these in hotfixes before this release and delivered them to you.

    v2024.6 (03/21/2024)

    TABLE OF CONTENTS

  • New function: Analytics    New

From 04.04. you can use our function Analytics. This adds an additional tab to the job openings. There you can view graphics that visualize important data on the applications for the respective job openings. This information allows you to evaluate the effectiveness of your job openings, identify potential for optimization and adapt your recruitment strategy to current requirements.

In order to regulate access to this function, we are introducing a new permission.

The following roles automatically receive this permission:

    • All roles that contain the system roles HR department (standard) or line management (standard)
    • All roles that can see job openings
  • You have to do this by April 4th

Please check whether all users with the Permission Analytics (of job openings) | view should have access to the Analytics. To the instructions:  Analytics - Authorization

We use a flash message in the system to inform users who have access to components of the permissions system (permissions, roles, users) that the roles should be checked.

    Preview of the new function

Conflict resolve system-wide vs. Conflict resolve according to view permisson    New

We have improved the conflict resolution and now allow you to resolve conflicts at the different organizational levels rather than system-wide. While conflicts were previously checked and executed system-wide (regardless of whether the user had access to the job openings), you can now choose whether users are allowed to solve conflicts organization-wide or only within their access area.

    This is what to do

You want users to continue to resolve conflicts for your entire company?

You don't need to do anything. We have merely renamed your Permissions. This is now called Conflicts | resolve system-wide.

Users should only delete conflicts for job openings that are visible to them?

The permissions Conflicts | resolve according to view permission must be manually added to their role and the permissions Conflicts | resolve system-wide must be removed from it. If necessary, an existing role must be copied, the permissions Conflicts | delete system-wide removed from it, the permissions Conflicts | resolve system-wide added and the role assigned to the users. See also: Role - edit, copy or delete

    Tip:

Use the filter button   on the page Roles and search for the word Conflict to display all roles with permissions for the conflict solution.

    That's whys this is important

If users receive both permissions, the system is based on the principle of unrestricted (system-wide) conflict resolution. This means that all conflicts relating to the person are deleted again, even if they are not within the user's field of vision.

Conflict/multiple application - Labeling and tasks   Better

    • Labeling of the conflict
From now on, we will mark all multiple applications directly with a conflict symbol  . Previously, only the second application of a person was marked. This applies to applications that are recorded in the system after this release. The previous system behavior remains in place for existing conflicts.
    • Tasks for conflicts
A task is automatically created for each identified conflict as soon as a user has permissions to view multiple applications. As soon as a conflict is resolved for a person, all associated tasks are considered completed.

  • Application portal - Preview button   Better

On the details page for an Application Portal, you can now display a preview of the application portal with all its content. To do this, click on the button  Preview

    Users - Filters    Better

You can now also set the filter Company above the overview list of users and thereby display users from a specific company only.

    Sorting of lists   Better

If you click on the column headings in the following areas, the entries are now sorted alphabetically in ascending or descending order.

  • Example

Activity Log - Element names    Better

Changes to the job list were listed in the activity log with an old name. We have now corrected this so that you can better understand which system component has been changed.

    Login - Multiple registrations    Better

If a user is logged in and another user logs in on the same computer in the same session, the original session is terminated and the user who was previously logged in is logged out.

Application Portal - IP policy    Better

If you accidentally enter an IP address twice in the IP policyof an application portal, we delete the duplicate and save the entry.

Job List - Pilot phase    Better

Over the last few weeks, the job list function has matured. We are therefore no longer marking the job list as "experimental". However, we are still looking forward to your feedback on possible improvements to this feature.

    Job list - Font-weight    Better

You can now specify the font weight in the job list in the Design -> Color and font design section. This changes the font weight for the filter description "Please select" and the additional information about the job behind the icons in the job list.

    Job List - Hyphenation    Better

With very long position names, it could lead to unfavorable displays. The hyphenation of the browser is now active and automatically breaks long names. If errors occur due to the hyphenation of the browser, it often helps to use other and possibly shorter words.

Job List - Keyword Search    Fixed

When using the keyword search filter in the job list, the "We offer" section of your publication was not searched for keywords.

Job List - Jump to other sites   Fixed

When accessing another website from the job list and trying to return to the job list, an error occasionally occurred.

    Layout - File format    Fixed

In the layout ICO. files for the favicon could not be uploaded for a short time.

Job Advertisement Template - Placeholder    Fixed

If you wanted to insert a form field as a placeholder in a job advertisement template, the correct name was not available in the placeholder selection.

Application Form - Mandatory fields    Fixed

If applicants submitted the application form without filling in all mandatory fields, their choice of location was not saved.

Hiring Requests - Hiring request templates    Fixed

If a hiring request was created and a hiring request template was subsequently selected, an error occurred.

Applications - View on Android devices    Fixed

The overview of applications could not be loaded completely when using devices with an Android operating system.

Application Portal - Fixed source    Fixed

If a source that was defined as a fixed source in an application portal was deleted from the system, an error occurred when applications were submitted via this portal. We have corrected this. Sources can now only be deleted if they are not stored as a fixed source in any application portal.

    v2024.5 (03/07/2024)

Login - Forgot your password?    Better

We have updated the function Forgot your password. From now on, users who click on Forgot your password? on the login/registration page will receive an email with a link to a page where they can set a new password. The old password can be used until the new one has been created and saved. The link loses its validity after 48 hours and Forgot your password? must be clicked again to receive a new link.

Job advertisement template - Changes    Fixed

If a system language was deactivated for which translations had already been maintained, job advertisement templates could not be edited. We have fixed this.

    REST-API - Accessibility    Fixed

REST-API-URLs with a slash at the end could not be called. This is now possible again.

    v2024.4 (02/22/2024)

    REMINDER
    Better

You can read these terms of use, as well as the privacy policy (both currently available only in German) here.

For users who have not yet agreed to the new terms of use, the license was automatically deactivated on February 22nd, 2024. To continue using the online interviews and benefit from an unlimited number of video pitches, you must do the following in your d.vinci:

You can find an overview of all available data here: OData Reporting API

    NEW

Additional Apply Button in Job Advertisement

You now have the option to insert additional apply buttons in your job advertisements. To do this, you need to place the new placeholder "Job Publication - Additional Apply Button" in the desired containers.

Furthermore, you can change the label of the button, which says "Apply Now" be default, in all your languages. This change applies to both the standard as well as the liquid design of a job advertisement template.

    Please note:
    • For the "Apply with WhatsApp" feature, the WhatsApp button is always displayed before the first apply button of a job publication.

    • It is not possible to configure different labels for the apply button in an application portal.

    Our recommendation:

    • For the best performance and user experience, you should add no more than one additional apply button per container.

    • Only use the additional apply button in in the liquid design job advertisement template in the "Position/ Details (Liquid Design)" container to prevent the button label from being read-out and published by job boards (such as StepStone).

    • In the standard job advertisement template, we recommend using the additional apply button in the "Header/ Position" container.

    Better

    Interface Icons - Display

To keep up with the latest developments in software design, we have updated our icons from the Font Awesome family system-wide to the latest version. The design of the current icons differs only minimally from the previous version:

Should you nevertheless stumble upon a broken icon on the user interface, please write to as at service-desk@dvinci.de so that we can correct it promptly. Thank you!

    Better

    Job List - "NEW" Label

We give you the option of adding a "NEW" label to job publications in your job lists for a custom duration.

To do this, first activate the Advanced mode. Scroll further down and activate the option Display "New" Label. Enter your custom duration in days and do not forget to click the button Save and publish to apply your changes.

    Please note:
This adjustment of the duration for marking job publications as NEW only applies to your job lists. For an individual job advertisement refresh, please follow these instructions.

    Fixed

    Job List - List Layout

If the layout named List was selected for a job list, the contents of a list entry could be displayed incorrectly: if there were more than 4 parameters, these were not displayed on the right-hand side in alignment with the contents on the left-hand side. We have corrected this behavior.

    Fixed

Application Questionnaire - Using the enter key

If an applicant was filling out the application questionnaire and the mouse pointer was in an input field, accidentally pressing the ENTER key could trigger the application to be submitted. We have corrected this behavior. Now, the application will be sent by pressing the ENTER key only if the applicant has deliberately selected the "Submit" button using the TAB key.

    Fixed

    Job Publication Channel - Deletion

As soon as a job publication channel is deleted, it is automatically set to "OFF" in all job publications. Unfortunately, this was not always the case and a deleted job publication channel was still visible from time to time. We habe corrected this behavior.

    Fixed

    Diplay Name of Permissions

    Fixed

    Questionnaire - Confirmation Email

If no confirmation email was selected for questionnaires of the type Application Questionnaire, a correspondence template was still displayed here. We have fixed the display error.

    Fixed

Job lists - Job list layout with image

In order to display images in the job list layouts with image in the preview, it is necessary to delete the query parameter fields=small in the advanced mode. If this has been saved, the fields=small entry has been re-entered. We have corrected this.
